We are seeking a highly organized, proactive, and strategic Executive Assistant to support the Head of Next Generation Transformation. This role serves as a trusted partner, enabling executive effectiveness through exceptional calendar management, communications, meeting governance, and operational coordination. The Executive Assistant will help orchestrate activities across a complex, global transformation program, partnering with senior leaders, business functions, and external delivery partners to ensure priorities are executed efficiently.
Success in this role requires exceptional judgment, discretion, executive presence, and the ability to anticipate needs while managing multiple competing priorities in a fast-paced, highly collaborative environment.
Executive Support- Serve as a trusted partner to the Head of Next Generation Transformation, proactively managing priorities and helping maximize executive effectiveness.
- Manage a highly complex calendar across multiple time zones while balancing changing priorities, leadership meetings, and global program demands.
- Coordinate domestic and international travel, including detailed itineraries and logistics.
- Prepare agendas, meeting materials, briefing documents, and presentations for executive leadership meetings, Steering Committees, governance forums, and Board-level discussions.
- Prepare and process expense reports.
- Manage confidential information with the highest level of professionalism and discretion.
- Coordinate activities across the Next Generation Transformation Office to support execution, governance, and leadership alignment.
- Schedule governance meetings, leadership reviews, and program checkpoints.
- Coordinate cross-functional meetings involving program members, internal business partners and multiple external implementation partners.
- Manage meeting logistics, catering, conference rooms, virtual meetings, and visitor coordination for large program on-site/offsites, townhalls and leadership events.
- Track executive action items and follow-ups, helping ensure commitments are completed on time.
- Support preparation of executive dashboards, status updates, leadership communications, and program reporting.
- Facilitate onboarding activities for new leadership team members, consultants, and external partners.
- Identify opportunities to improve administrative processes and increase executive efficiency.
- Draft, edit, and format executive communications, presentations, announcements, and leadership updates.
- Serve as a liaison between the Transformation Office and senior executives, business leaders, and external partners.
- Prioritize incoming requests and communications while exercising sound judgment regarding urgency and business impact.
- Coordinate communication across global teams to ensure timely information sharing and follow-up
- Support special projects and strategic initiatives led by the Head of Next Generation Transformation.
