Office Administrator/ Coordinator
A well-established, independent wealth management practice is seeking a highly organized and client-focused professional to serve as Manager of Client Services. This individual will play a key role in delivering a high-touch client experience, ensuring all interactions are handled with professionalism, accuracy, and attention to detail.
This is a full‑time, in‑office position based in the St. Louis area. The team offers a collaborative environment focused on delivering exceptional service and long‑term client relationships.
Key Responsibilities- Serve as the primary point of contact for client inquiries, requests, and day‑to‑day needs
- Coordinate with custodians and third‑party partners to support client account activity
- Prepare and manage client documentation, agreements, and account‑related paperwork
- Support client meetings by gathering data, updating records, and assisting with agenda preparation
- Facilitate client communications across multiple channels including phone, email, and in‑person interactions
- Track and manage follow‑up items to ensure timely completion of client requests
- Assist with onboarding new clients, including documentation and process coordination
- Maintain accurate and up‑to‑date client records within CRM and internal systems
- Organize and manage electronic and/or physical client files
- Process client transactions and requests in a timely and accurate manner
- Contribute to a team‑oriented environment with a strong emphasis on service excellence
- 10+ years of professional experience, ideally within financial services or a client‑facing environment
- Strong technical proficiency, including Microsoft Office Suite and document management tools
- Experience working with custodians or financial platforms is a plus
- Familiarity with CRM systems and back‑office software preferred
- Excellent communication skills, both written and verbal
- High level of discretion, integrity, and professionalism
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Detail‑oriented with strong problem‑solving abilities
- Self‑starter with the ability to work independently and collaboratively
- Positive, team‑oriented mindset with a willingness to learn and grow
