Executive Assistant Overview:
The Executive Assistant will provide comprehensive administrative support to three Senior Vice Presidents. This role is critical to ensuring smooth day‑to-day operations by managing complex schedules, coordinating meetings, and handling a broad range of administrative and business responsibilities. The ideal candidate is highly professional, discreet, organized, and proactive, with sound judgment and the ability to operate independently in a fast‑paced, highly visible environment.

This Executive Assistant will serve as a trusted business partner, helping leaders stay focused on strategic priorities while also coordinating Seattle‑based company event activities and team engagement efforts.

About the Role
  • Performs high‑level administrative duties that support daily operations for three Senior Vice Presidents and enables effective coordination across the broader team.
  • Manages complex calendar scheduling across multiple leaders and time zones, optimizing meeting flow, prioritization, and executive access.
  • Makes domestic and international travel arrangements with detailed itineraries, including flights, ground transportation, hotels, and visa processing when required.
  • Processes and reconciles expense reports in accordance with company Travel & Entertainment policies; manages Purchasing Card transactions and department purchases ensuring alignment with budget and finance policies.
  • Researches and resolves complex issues on behalf of the executive with a high level of confidentiality and tact.
  • Provides event and communication management support.
  • Plans and coordinates meetings, internal events, offsites, and Seattle‑based company activities, ensuring a high‑quality experience and smooth execution across stakeholders.
  • Coordinates regular catering for executive meetings, team gatherings, and Seattle‑based office events, including vendor communication, order management, delivery logistics, and on‑site readiness.
  • Supports onboarding for new team members and helps drive alignment with team processes, tools, and local office engagement activities.
  • Manages and maintains several email distribution lists used for communication across the organization.
  • Required on‑site three or more days per week.
About You
  • Administrative experience supporting senior leaders or executives in a corporate, matrixed environment, with experience supporting multiple leaders preferred.
  • Demonstrated ability to maintain a high degree of confidentiality, discretion, and professionalism.
  • Strong ability to manage calendars, adapt to shifting priorities, and anticipate needs in fast‑moving environments.
  • Proven experience coordinating travel, events, and high‑profile meetings, including office‑based or company‑sponsored activities that require exceptional attention to detail.
  • Strong communication skills, with the ability to draft and edit executive‑level correspondence.
  • Advanced proficiency with Microsoft 365 or Google Workspace tools, including Outlook, PowerPoint, Excel, Teams, and collaboration platforms such as Copilot or Zoom.
  • Strong team player with high energy, initiative, and the ability to work independently while building strong partnerships across executives, teams, and Seattle office stakeholders.
  • Ability to thrive in ambiguous environments, manage competing demands, and exercise sound judgment.
  • College degree or equivalent professional experience.
