Schedule:
Monday through Friday, 9:00 AM to 5:00 PM
Position Overview
An established architectural design firm, is seeking a professional, organized, and personable Part-Time Office Assistant to support daily office operations. The ideal candidate will possess outstanding customer service and communication skills, strong administrative abilities, and a willingness to help create an efficient and welcoming office environment.
Key Responsibilities
- Answer and route incoming phone calls with professionalism and excellent phone etiquette.
- Serve as a friendly and professional first point of contact for clients, vendors, and visitors.
- Maintain employee calendars and schedule appointments and meetings.
- Coordinate employee travel arrangements using the company's travel management system.
- Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and shipments.
- Manage office supply inventory and place supply orders as needed.
- Assist with maintaining organized filing systems and office records.
- Support basic bookkeeping functions, including data entry and invoice processing as needed.
- Utilize Microsoft Word and Excel to create, update, and maintain documents and reports.
- Help maintain clean, organized kitchen and meeting room areas.
- Assist with planning and coordinating employee celebrations, company events, and office activities.
- Provide general administrative support to architects, designers, and management staff.
- Perform other administrative duties as assigned.
Qualifications
- Excellent phone etiquette and interpersonal skills.
- Strong customer service and communication abilities.
- Proficiency in Microsoft Windows, Microsoft Word, and Microsoft Excel.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage multiple responsibilities.
- Dependable, professional, and self-motivated.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Previous office administration or office assistant experience.
- Basic knowledge of Quick Books.
- Experience scheduling travel and managing calendars.
- Experience working in a professional office environment, preferably in architecture, engineering, construction, or design industries.
