The Customer Service Support Coordinator role supports the Account Coordinator team by completing daily, weekly and quarterly scheduled administrative tasks including, but not limited to order preparation, data entry, order shipment set up, maintaining department documentation, and department projects.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Help coordinate customer shipments with third party logistics teams.
- Maintain information spreadsheets and database in Excel for tracking and analysis.
- Assist in proofing department order information to ensure accuracy.
- Matching and proofing incoming invoices for payment.
- Process department credits and equipment returns.
- Maintain electronic files for key account customers.
- Scanning and sending information to customers.
- Run and distribute daily, weekly and monthly customer and installer partner reports.
- Run and distribute internal reports for upper management.
- Assist Account Coordinators with timely processing of customer orders and ensure compliance with ordering requirements, as necessary.
- Assist in processing production work orders and equipment conversion requests.
- Work with Word and Adobe Acrobat to scan and create files for electronic processing in our document manager program.
- Manage department voicemail communication.
- Assist with updating department SharePoint and Teams site using Microsoft Office applications.
- Assist with new department projects and tasks as necessary.
- The Customer Service Support Coordinator is an office-based role. Regular, predictable on-site attendance is required. Eligibility for up to one (1) remote workday per week may be permitted, subject to business needs and departmental guidelines.
- Perform core job responsibilities through regular in-person collaboration, including participation in meetings, team discussions, and cross-functional coordination.
- Collaborate with fellow team members and leadership in a shared work environment to support innovation and timely decision-making, problem-solving, and operational effectiveness.
- Maintain a consistent on-site presence to support and respond to day-to-day business needs, including attendance of scheduled meetings and real-time collaboration as needed to ensure alignment of department and company priorities.
- Meet regularly with manager in-person to align on workload, priorities, performance, and ongoing professional development.
- High School diploma or general education degree (GED) required.
- One or more years related experience required.
- A positive attitude and desire to work as part of a team in a fast-paced environment is required.
- Must be organized and efficient.
- Must have the ability to prioritize and multitask to meet department cutoffs and deadlines.
- Must have the ability to professionally communicate with Team Members inside and outside the department.
- Must be neat and accurate in all processing and able to follow standardized department processes.
- Must be well written with above average documentation skills.
- Being open to change and process improvement is beneficial.
- Must be flexible and open to learning new tasks.
The hours for this position are 8:30am - 5:00pm, Monday through Friday.
