Position DescriptionWe are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will ensure the smooth and efficient operation of our office while providing exceptional administrative support.
They will have excellent communication, organizational, and multitasking skills, along with proficiency in office tools, data entry, and Excel. Potential applicants must be organized, detail oriented, and available to work from our office in O’Fallon, Missouri;
Monday – Friday 8:30 am to 5:00pm. Infrequent travels to the trade shows.

Probation and Orientations Periods3 months.
Duties And Responsibilities- Welcoming and assisting visitors, handling incoming calls, and scheduling meetings.
- Maintaining professional communication via phone, email, and mail.
- Managing office operations, including scheduling projects, organizing files, and coordinating supplies and equipment maintenance.
- Supporting the team with organizational tasks, travel arrangements, and corporate event planning.
- Assisting in marketing efforts, including managing social media pages, websites, and distributing materials.
- Coordinating trade shows, memberships, and other events (travel may be required up to four times per year).
- Handling customer interactions, maintaining records in CRM systems, and processing payments.
- Assisting accounts receivable and payable, including data entry in Quick Books and tracking payments.
- Collaborating with service providers and ensuring performance standards.
Strong Communication Skills, Self-Development, Attention to Detail, Professionalism, Microsoft Office Skills, Teamwork, Adaptability, Administrative Writing Skills.
Minimum Essential Qualification- Authorized to work in the United States for any employer (please do NOT apply if you are NOT authorized to work in the United States for any employer).
- No criminal records and/or drug issues in the past.
- High School Diploma AND equivalent administrative experience for at least 3 years OR Bachelor's Degree.
- Exceptional communication skills, personable.
- Proficiency in MS Office:
Excel, Word. - Ability to manage projects and meet deadlines.
- Team and independent work under tight deadlines.
- Bachelor’s Degree or Graduating.
- Customer Service Experience.
- Knowledge of Quick Books (or similar software) and CRM systems.
$18.00 – $23.00 per hour (based on experience and skills). Hourly-based salary, over-time paid (if any)
Pay Frequency:
Bi-weekly.
- Medical, Dental and Visions insurances paid in-full by company.
- 40 hours of paid PTO (until first employment anniversary).
