Position: Human Resources Assistant I
The Human Resources Administrative Assistant is an entry-level role responsible for providing administrative and customer service support to the Human Resources Department. This position serves as the first point of contact for many employee inquiries, including answering and directing phone calls, assisting employees with the self-service portal, and responding to routine HR-related questions. The HR Administrative Assistant also provides administrative support to the Benefits, Payroll, and other Human Resources teams as needed.

Work Schedule:

Monday through Friday, 5:00 a.m. to 1:30 p.m., including a 30-minute lunch break.

Essential Duties and Responsibilities The following duties are representative of the position's primary responsibilities. Additional duties may be assigned as needed.

The Human Resources Assistant I is an office-based role. Regular, predictable on-site attendance is required. Eligibility for up to one (1) remote workday per week may be permitted, subject to business needs and departmental guidelines.

Perform core job responsibilities through regular in-person collaboration, including participation in meetings, team discussions, and cross-functional coordination.

Collaborate with fellow team members and leadership in a shared work environment to support innovation and timely decision-making, problem-solving, and operational effectiveness.

Maintain a consistent on-site presence to support and respond to day-to-day business needs, including attendance of scheduled meetings and real-time collaboration as needed to ensure alignment of department and company priorities.

Meet regularly with manager in-person to align on workload, priorities, performance, and ongoing professional development.

Answer and manage incoming calls and monitor shared Human Resources email inboxes, responding to inquiries in a professional, courteous, and customer-focused manner while providing timely and accurate assistance to employees, managers, and external contacts.

Update employee attendance records in the Time and Attendance system using information obtained from employee calls and other sources.

Respond to employee questions regarding company policies, procedures, and HR programs, escalating or routing inquiries to the appropriate team member when necessary.

Provide administrative support to the Benefits team, including coding and processing invoices.

Assist with the planning, coordination, and administration of employee benefits and wellness-related initiatives, including open enrollment, biometric screening events, flu shot clinics, and other health and wellness programs.

Assist with new hire orientation as needed.

Provide frontline phone and in-person support for the employee self-service portal.

Maintain and organize HR documents and records within designated systems.

Prepare and distribute daily employment status and transfer communications.

Create and distribute weekly employee birthday and service anniversary certificates.

Perform general administrative duties, including data entry, mail distribution, document filing, and miscellaneous project support.

Serve as a backup for other HR Administrative Assistants as needed.

Greet and assist employees, applicants, and visitors arriving at the HR office, when applicable.

High School Diploma or General Education Degree (GED) required.

Six or more months of experience answering approximately one hundred calls per day and simultaneously performing administrative tasks required.

Experience creating and editing documents in Microsoft Office Suite.

Prior experience working in a fast-paced environment with the ability to work with distractions.

Strong organizational skills with a high level of attention to detail.

Ability to work with confidential and sensitive information.

Energetic with a high level of professionalism.

The hours for this position are 5:00am - 1:30pm, Monday through Friday.
