POSITION PURPOSE/SUMMARY

The District Office Clerk supports the efficient and professional operation of the district’s administrative offices by providing clerical, organizational, and communication support across departments.

QUALIFICATION REQUIREMENTS

The District Office clerk shall have a minimum of a high school diploma or its equivalent and shall have a high level of competence in clerical skills as demonstrated by the District’s skills assessments. Ability to quickly learn and effectively use district-specific software, data systems, and multi-line phone systems. Comfortable handling incoming calls and directing inquiries with professionalism and accuracy.

ESSENTIAL DUTIES
  • Provide administrative and clerical support to assigned departments or assist multiple departments during peak workloads.
  • Answer and route incoming phone calls using the district’s multi-line phone system; respond to inquiries or direct callers to appropriate personnel.
  • Provide backup coverage for the district office switchboard and front desk reception area as needed.
  • Manage filing systems, sort and distribute interoffice mail, and duplicate or type materials as assigned.
  • Assist with district record retention and archiving operations in compliance with local and state requirements.
  • Learn and utilize district software systems to input data, generate reports, and support departmental needs.
  • Maintain professional confidentiality in handling personnel, student, and district-related information.
  • Communicate clearly and courteously with staff, administrators, families, and community members.
  • Operate a variety of office equipment, including copiers, scanners, fax machines, and computers.
ADDITIONAL DUTIES
  • Perform other duties as assigned by the most immediate supervisor.
  • Operate office machinery.
MENTAL DEMANDS

Ability to maintain confidential information; communicate clearly both orally and in writing, and/or ability to reason and make appropriate decisions. Solve a variety of problems in many different situations and perform in a fast-paced environment.

PHYSICAL DEMANDS

While performing the duties of this position, an employee is regularly required to sit, stand, walk, talk, and hear. The employee will often lift, carry, move, push, or pull up to 20 pounds.

TERMS OF EMPLOYMENT

Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave. Each office clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate.

Eight hours will constitute a workday. The Chief Human Resources Officer will establish a definite daily schedule.

The yearly salary will be disbursed in nineteen (19) equal payments or twenty-four (24) equal payments per employee’s choice.
