POSITION PURPOSE/SUMMARYSupports student success and post‑secondary planning by providing comprehensive clerical assistance to guidance counselors.
QUALIFICATION REQUIREMENTSThe guidance clerk shall have a minimum of a high school diploma or its equivalent and shall have a high level of competence in clerical skills as demonstrated by the District’s skills assessments. Must possess strong attention to detail, ability to maintain confidentiality, and effective communication skills for working with students, families, and staff.
ESSENTIAL DUTIES- Maintain the guidance career area: organize and maintain materials, assist students with computer usage, and update career materials daily, including information on colleges and scholarships.
- Coordinate collection and distribution of student work: gather homework assignments for students with extended absences, at parents’ request; collect books for homebound students; distribute assignment sheets as requested.
- Provide comprehensive clerical support, including data entry, filing, scheduling conferences, and preparing appointment notifications.
- Manage telephone communications and sort mail for the guidance department.
- Assist in the coordination and distribution of grade sheets and report cards.
- Gather, organize, and support special projects for guidance and teachers.
- Develop appropriate lists of students related to progress reports, honor roll, and retention.
- Supervise students as assigned (lunch periods, passing times, in‑school suspension, teacher‑attending IEP/staffing meetings).
- Maintain the confidentiality of all student, school, and guidance‑related matters.
- Effectively communicate, verbally and in writing, with students, administrators, staff, and the community as needed.
- Provide a professional and calming presence for dysregulated students entering the guidance office; utilize basic de‑escalation techniques to support students’ immediate needs while coordinating timely access to their assigned counselor.
- Operate office machinery.
- Attend in‑service workshops related to the job description to remain current.
- Other duties as assigned by the supervisor.
Ability to maintain highly confidential information; communicate clearly both orally and in writing, and/or reason and make appropriate decisions. Solve a variety of problems in many different situations and perform in a fast‑paced environment.
PHYSICAL DEMANDSWhile performing the duties of this position, an employee is regularly required to sit, stand, walk, talk, and hear. The employee will occasionally lift, carry, move, push, or pull up to 20 pounds.
TERMS OF EMPLOYMENTEmployment will be on an at‑will basis for 9 months, beginning with the first day of the work calendar or at the time of employment for the duration of the school year with prorated personal leave. Each office clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate.
Seven hours (including a 30‑minute non‑paid lunch period) will constitute a workday for the guidance clerk. A definite daily schedule will be established by the building principal and approved by the Chief Human Resources Officer.
The yearly salary will be disbursed in nineteen (19) equal payments or twenty‑four (24) equal payments per employee’s choice.
EVALUATIONPerformance of this job will then be evaluated annually in accordance with the provisions of the Board’s policy on evaluation of support staff personnel.
