We’re a growing, founder-led services business in a HIPAA-regulated environment looking for an independent Operations Manager to build and own our operational infrastructure
.

This is not a maintenance role. It’s a from-scratch systems build with real authority.

• Want a sales, marketing, or relationship-heavy role
• Avoid documentation or operational detail

What do you enjoy about building operations from scratch?

Primary Responsibilities:

• Select and implement a HIPAA‑compliant CRM / case management system and secure client portal
• Design and document core workflows (intake, case processing, communication, tracking, reporting)
• Develop clear, practical SOPs
• Ensure HIPAA compliance is integrated into daily operations

• Lead system rollout and team training
• Drive consistent usage and accountability across staff
• Identify operational gaps and implement improvements
• Establish reporting and performance tracking processes

• Prepare operations to support increased volume and future marketing efforts
• Build structure that reduces founder dependency and increases efficiency

Ideal

Qualifications:

• Experience building or significantly improving operations in a small or scaling business
• Experience selecting and implementing software systems
• Strong process design and documentation skills
• Ability to work independently and make decisions without extensive direction
• Experience in HIPAA, healthcare, legal, or another regulated environment preferred
• Experience training teams and leading system adoption
