As a Talent Acquisition Coordinator, you’ll play a pivotal role in keeping our recruiting engine running smoothly. You’ll partner closely with Recruiters, Hiring Managers, and candidates to ensure seamless interview experiences, timely communication, and efficient onboarding processes. Location:
Oak Brook, IL (Onsite 3 days/week)
- Own interview scheduling from end to end—manage calendars, communicate with hiring teams and candidates, and prepare interview materials and feedback forms.
- Serve as the primary post‑offer contact for candidates, ensuring they feel supported from acceptance through start date.
- Monitor background checks and guide candidates through all onboarding steps with clarity and confidence.
- Oversee the recruiting inbox, triaging inquiries, troubleshooting issues, and providing accurate, timely responses.
- Support TA Operations through cross‑coverage on key processes such as immigration, relocation, and agency coordination.
- Participate in ongoing cross‑training to build broad TA Operations expertise.
- Assist with system tasks including Workday testing and troubleshooting.
- Contribute to sourcing efforts by identifying passive talent.
- Help build candidate engagement campaigns that nurture and excite prospective talent.
- A scheduling wizard. A five‑person onsite interview? Challenge accepted. You approach complex calendars like a puzzle waiting to be solved.
- A documentation master. You take detailed notes, follow processes meticulously, and execute independently with confidence.
- A solutions thinker. You don’t just fix issues—you identify the root cause and think ahead to prevent future problems.
- 2+ years of experience in recruiting coordination, HR support, or administrative roles.
- Exceptional calendar management skills and comfort coordinating multiple stakeholders.
- Expert proficiency in Microsoft Outlook, Teams, and HRIS/ATS systems (Workday preferred).
- Outstanding organization and attention to detail—nothing slips through the cracks.
- Strong written and verbal communication skills with a polished, professional tone.
- A high level of discretion in handling sensitive information.
- Ability to prioritize and stay adaptable in a dynamic, fast‑moving environment.
