Business Office Assistant
The Business Office Assistant supports the facility's Business Office Manager with business office functions. This position helps ensure financial records are accurate, payments are processed timely, documentation is maintained appropriately, and established accounting and administrative procedures are followed.
Essential Responsibilities May Include But Not Limited To:- Maintain organized open packing slip and purchase order files.
- Match invoices with packing slips and purchase orders.
- Process and verify invoices for payment in a timely manner.
- Forward invoices to appropriate department personnel for payment approval.
- Verify voucher reports, remittance advices, checks, and journals for accuracy.
- Communicate with suppliers and vendors regarding invoice errors, discrepancies, or questions.
- Record payments received.
- Post payments to the appropriate resident accounts.
- Process and post daily charge slips to resident accounts.
- Monitor and collect accounts receivable and report delinquent accounts to the Accountant, Director of Finance, or Administrator.
- Prepare and mail resident statements.
- Follow established resident fund accounting procedures.
- Provide each resident with a quarterly accounting of funds managed by the facility.
- Assist with bank statement reconciliations as directed.
- Perform computer and data processing functions as necessary.
- Accounts payable/receivable, payroll, or a business office environment preferred.
- Strong attention to detail and accuracy.
- Ability to maintain confidential financial and resident information.
- Strong organizational and recordkeeping skills.
- Ability to communicate professionally with residents, families, employees, vendors, and department leaders.
- Proficiency with computers and willingness to learn facility-specific accounting and business office software.
- Ability to prioritize tasks, meet deadlines, and work independently while following established procedures.
