This position will play a critical role in maintaining the smooth operation of our firm, ensuring that superior client service is delivered at all times. Responsibilities- Serve as the primary point of contact for our clients, managing inquiries, scheduling appointments, and ensuring a high level of customer service.
- Coordinate and manage client files, ensuring all necessary paperwork is completed, filed, and easily accessible.
- Assist with estate planning and administration tasks, including preparing documents, conducting research, and liaising with relevant parties.
- Provide administrative support to the legal team, including managing correspondence, drafting letters, and preparing legal documents.
- Maintain the office calendar, scheduling meetings, court dates, and deadlines.
- Handle reception duties, including answering phones, greeting clients, and maintaining the office environment.
- Collaborate closely with the legal team to ensure all client needs are met and all legal procedures are followed accurately and efficiently.
- Contribute to the development of office procedures and systems to improve efficiency and client service.
- Minimum of 2 years' experience in a similar role, such as Client Coordinator, Legal Assistant, Administrative Assistant, Office Assistant, Receptionist, Legal Secretary, or Front Desk Coordinator.
- Experience in the legal industry is required, preferably with a focus on estate planning and administration.
- Exceptional organizational skills, with a proven ability to manage multiple tasks, prioritize, and meet deadlines.
- Strong communication skills, both written and verbal, with the ability to interact professionally with clients, colleagues, and court officials.
- Proficiency in Microsoft Office Suite and legal research databases.
- High level of discretion and confidentiality, with a strong understanding of legal ethics.
- Ability to work in a fast‑paced, high‑pressure environment, demonstrating resilience and a problem‑solving attitude.
- A degree in law, business administration, or a related field is preferred.
