Administrative Coordinator

Position supports food rescue and distribution operations by assisting with agency onboarding, data entry, scheduling, reporting, and administrative coordination. The Agency Enablement Associate works closely with Client Services and Food Sourcing teams to help expand agency partnerships while ensuring accurate data management and excellent customer service.

Key Responsibilities

  • Uphold the mission, vision, and values of the organization.
  • Support onboarding and setup of new agency partners.
  • Provide guidance regarding food safety, storage procedures, and scheduling processes.
  • Accurately enter, update, and maintain confidential information within company databases and tracking systems.
  • Transfer data from paper and digital sources while verifying accuracy and completeness.
  • Generate reports and maintain organized records for operational tracking.
  • Assist with scheduling agency pick-ups from warehouses and retail donor locations.
  • Support training efforts for agency partners to ensure timely and accurate reporting.
  • Coordinate outreach and communication with food donors and agency partners as needed.
  • Track agency participation, missed pick-ups, and pounds recovered.
  • Review, analyze, and report trends using collected operational data.
  • Provide administrative support and complete additional duties as assigned.

Qualifications

  • High School Diploma, GED, or equivalent work experience required.
  • Strong computer proficiency including Microsoft Office Suite, Excel, email, and internet navigation.
  • Excellent data entry accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Proven administrative and organizational skills with the ability to multitask effectively.
  • Ability to remain calm and professional in a fast-paced environment.
  • Self-motivated with a positive, outgoing attitude.
  • Excellent interpersonal and customer service skills with the ability to work with diverse populations.
  • Ability to work independently and collaboratively within a team environment.
  • Strong commitment to the organization's mission and community impact.
  • Valid driver's license, acceptable driving record, and valid personal auto insurance required.
