Overview

The Facilities and Operations Directorate (F&O) at Oak Ridge National Laboratory (ORNL) seeks an experienced, full‑time staff member to fill the position of Guest Services Administrator in the Personnel Security group. This position serves as the first point of contact for employees, visitors, and external stakeholders, ensuring a professional, welcoming, and efficient front desk environment. The selected candidate will provide administrative and customer service support, manage visitor check‑in processes, coordinate communications, and support daily office operations under general supervision.

Duties/Responsibilities
  • Serve as the primary front desk point of contact for employees, visitors, and guests.
  • Greet and assist visitors in a professional and courteous manner (in person and via phone/email).
  • Manage visitor check‑in/check‑out processes in accordance with laboratory policies and procedures.
  • Monitor and maintain visitor logs, badge issuance/collection, and related documentation.
  • Respond to and route phone calls, emails, and inquiries to appropriate personnel.
  • Assist managers and staff with administrative support tasks and communications.
  • Prepare and review correspondence and other written materials in accordance with ORNL policies.
  • Coordinate with internal organizations and external partners to ensure smooth visitor experiences.
  • Maintain a professional office environment and ensure front desk areas remain organized and secure.
  • Handle sensitive or confidential information with discretion.
  • Maintain a consistent, reliable work schedule during core business hours to support operational and staff needs.
  • Provide front desk coverage, as assigned, at any ORNL Visitor Center location, including Main Campus, Chestnut Ridge (SNS), and the Hardin Valley Campus Visitor Center.
  • Prioritize multiple tasks in a fast‑paced environment while maintaining accuracy.
  • Anticipate needs, adjust to changing priorities, and meet established deadlines.
  • Maintain compliance with ORNL policies, DOE directives (as applicable), and required training.
  • Assist with special projects and assignments as needed.
  • Demonstrate a strong commitment to safety, including ergonomic and workplace safety practices.
  • Foster a collaborative, team‑oriented work environment.
Basic Qualifications
  • High School Diploma or equivalent.
  • 2–4 years of relevant administrative, front desk, customer service, or office support experience (or equivalent combination of education and experience).
  • Procien… in oce computer systems and software applications such as Microsoft Oce/Outlook.
  • Must work well in a team environment and be highly motivated.
Preferred Qualifications
  • ASorBS degree in relevant field.
  • Experience with SAP, PAS, Classified Visits, other ORNL systems.
  • Holds a DOE security clearance.
  • Excellent communication and interpersonal skills.
  • Excellent organizational skills with attention to detail.
  • Demonstrated ability to learn and support multiple business areas.
  • Current or previous ORNL experience.
Special Requirements
  • Q clearance:
    This position requires the ability to obtain and maintain a clearance from the Department of Energy. As such, this position is a Workplace Substance Abuse (WSAP) testing designated position. WSAP positions require passing a pre‑placement drug test and participation in an ongoing random drug testing program.
