Position: Administrative Assistant I for Student Services

Administrative Assistant I for Student Services

Starting Date: July 6, 2026

Location: Oak Ridge School District, Student Services, Oak Ridge, Tennessee

Position: 11‑month full‑time position, approximately 225 days per year

Responsibilities
  • Reports to the Executive Director of Student Services.
  • Works under the supervision of the executive director, supervisor of nursing, director of student supports, director of special education, and coordinated school health supervisor.
  • Maintains all information as confidential in alignment with HIPAA and FERPA.
  • Greets visitors and directs them as appropriate.
  • Screens and directs incoming calls.
  • Maintains accurate spreadsheets, records, and paperwork for McKinney‑Vento, tuition, cross‑boundary agreements, BID meetings, and health screenings.
  • Prepares health screening documentation (creates labels, pulls class lists, manages opt‑outs).
  • Handles Turkey Trot registration and organization.
  • Assists with final Forms administrative work for athletes transferring in and out and monitors compliance.
  • Supports food service by processing free/reduced lunch applications when necessary.
  • Inputs data for the PE collaborative team and PACER scores.
  • Collects and maintains background paperwork for outside contractors including BCBAs, RBTs, etc.
  • Labels, organizes, and files records for existing, transfer, and former students.
  • Acts as additional Tennessee Pulse administrator to process transfers in and out of the district.
  • Updates and maintains staff directory.
  • Updates and maintains special‑education teacher and service provider caseloads.
  • Coordinates professional development and other required trainings for staff.
  • Assigns calendar invites as necessary.
  • Performs other duties as assigned.
Qualifications
  • High school diploma required; at least two years of college coursework preferred.
  • Bi‑Linguistic English/Spanish preferred.
  • Citizenship, residency, or a work visa required.
