POSITION SUMMARY The Oak Ridge National Laboratory (ORNL) Site Office (OSO) provides stewardship and contract management of the Department of Energy (DOE) performance-based management and operating contracts for the safe, secure, effective, and efficient operation of the Oak Ridge National Laboratory (ORNL) and the Oak Ridge Institute for Science and Education (ORISE) in Oak Ridge, Tennessee. ORNL's primary mission is to deliver scientific discoveries and technical breakthroughs needed to realize solutions in energy and national security and provide economic benefit to the nation;

ORISE creates and promotes collaborative partnerships among academia, government and industry to strengthen the nation's scientific research and education enterprise. The OSO is responsible for program implementation, acquisition management, and laboratory stewardship at ORNL and ORISE in support of DOE's missions. Work scope includes, but is not limited to, the following administrative support activities:
* Receive, review, and process all incoming mail, action items, and correspondence, updating official records and distributing promptly. Manages correspondence-tracking systems (such as the Correspondence Action Tracking System (CATS), an internal database) to assign and monitor actions, ensuring timely responses.
* Coordinate preparation and internal review of site office documentation, including logging, reviewing, and finalizing diverse written correspondence (such as letters, memos, procedures, assessments, reports) to ensure adherence to proper format, grammar, and DOE correspondence standards. Create and manage associated entries in OSO's system for logging documents (Doc Log).
* Maintain, distribute, and archive all official written correspondence and programmatic records. Create, update, and disposition technical and correspondence files, ensuring data integrity across the OSO Doc Log System and other approved tracking systems.
* Develop and maintain internal tracking mechanisms, such as spreadsheets, for OSO actions and correspondence, including the assignment of DOE report numbers. Research and compile information from various sources to assist staff in preparing specialized documents and reports.
* Facilitate processing of Strategic Partnership Projects (SPPs) by managing proposal uploads, recording acceptances, coordinating funding obligations, and preparing correspondence. Track and manage open SPP budget actions to ensure timely approval and execution. Maintain highly responsive relationship with OSO staff, collaborates effectively in a team environment, manage tasks efficiently, and provide administrative backup support to the front office executive assistant as needed.

* High school diploma or GED is required.
* An Associate's or Bachelor's degree is preferred. EXPERIENCE
