Summary
The Legal Secretary will provide legal and administrative support to multiple attorneys. This essential, highly responsible, and accountable position requires the individual to work independently, anticipate needs, be proactive, maintain confidentiality, and demonstrate professionalism. The successful candidate must deliver excellent work and superior service to the Firm and the Firm’s clients. The candidate must also possess strong organizational and time management skills, communicate effectively, and be flexible as demands and priorities change.
Requiredduties and experience
- File management and document production
- Extensive experience with e‑filing in administrative, state, and federal courts
- Draft, proofread, and edit correspondence
- Client interaction/communication with clients, courts, and attorneys
- Knowledge of court rules and civil procedures in State and Federal jurisdictions
- Legal calendaring via Juralaw and other electronic court rule programs
- Management of multiple calendars, appointments, and travel arrangements
- Preparation of travel/expense reimbursements
- Provide routine information to callers, clients, and visitors
- Accept and sign for deliveries and maintain an incoming delivery log
- Open and distribute mail daily
- Maintain file integrity by adhering to filing system procedures
- Order office supplies under the supervision of the Office Manager
- Schedule meetings and manage the use of conference rooms and guest offices
- Coordinate catering, room set‑up, and A/V or other technology needs
- Maintain, set up, and clear conference and supply rooms
- Order and stock kitchen supplies, clean kitchen, and set up coffee equipment throughout the day
- Perform routine clerical work and serve as a backup for the records clerk and secretaries; may serve as a primary records clerk for smaller offices
- High school diploma or GED;
Associates/Bachelor’s degree preferred - In‑depth knowledge of Microsoft Office Suite, Coyote timekeeping, and DMS (iManage) or similar software
- A minimum of THREE (3) years of experience as a litigation secretary working with multiple attorneys; transactional law and administrative hearing knowledge is a plus
- Salary:
