Schedule: Sunday - Thursday | 6:00 PM Start
Position SummaryWe are seeking a highly organized and detail-oriented Dispatcher to support daily operations within a fast-paced cold storage environment. This role serves as a critical communication hub between customers, drivers, warehouse personnel, and management to ensure efficient coordination of transportation, shipping, receiving, and inventory activities.
The ideal candidate will possess strong administrative skills, excellent communication abilities, and the capacity to manage multiple priorities while maintaining accuracy and professionalism.
- Serve as the primary point of contact for customers, drivers, warehouse personnel, and internal departments
- Handle inbound and outbound phone calls, emails, and customer inquiries in a professional and timely manner
- Coordinate delivery schedules, pickups, appointments, and transportation activities
- Prepare, review, and process shipping, receiving, inventory, and transportation documentation, including bills of lading and invoices
- Maintain accurate records of product movement, inventory transactions, and operational reports
- Monitor shipment statuses and communicate updates to customers, drivers, and internal teams
- Assist warehouse and logistics personnel with scheduling and operational coordination
- Ensure all documentation complies with company policies, safety standards, and regulatory requirements
- Provide translation and interpretation support for Spanish-speaking employees and customers when needed
- Perform data entry, filing, scanning, record maintenance, and other general administrative duties
- Support inventory tracking and documentation accuracy
- Communicate operational concerns, delays, or discrepancies to management promptly
- Assist with additional administrative and dispatch-related duties as assigned
- Previous experience in dispatching, logistics, transportation, warehouse administration, or a related administrative role preferred
- Bilingual Spanish is a plus but not required
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to multitask and prioritize responsibilities in a fast-paced environment
- Excellent verbal and written communication skills
- Strong customer service and interpersonal abilities
Knowledge of shipping, receiving, transportation, and inventory processes preferred - Ability to work independently and collaboratively with cross-functional teams
- Flexibility to work additional hours as business needs require
- Proficiency in Microsoft Word, Excel, Outlook, and other Microsoft Office applications
- Experience with Warehouse Management Systems (WMS) and logistics software preferred
- Strong computer, data entry, and recordkeeping skills
