Staff Accountant – District

Job Description Summary

The Staff Accountant provides fiscal services to support district activities such as invoice processing, account reconciliation, cash management, and supporting district auxiliaries. The role ensures fiscal practices are followed, detailed records are maintained, and cash balances reconciled.

Responsibilities
  • Respond to inquiries from students, staff, and vendors regarding procedures and transaction completion.
  • Monitor financial activity to ensure allocations and expenditures are accurate, revenues are recorded properly, and fiscal practices are followed.
  • Prepare and/or review deposits for district funds to ensure accuracy and timely completion.
  • Prepare financial statements to document activities and meet the district’s fiscal reporting requirements.
  • Process a variety of fiscal information—accounts receivable, accounts payable, billings, deposits, refunds, and correspondence—complying with accounting requirements.
  • Reconcile cash and/or account balances—student accounts, ASB accounts, bank accounts, financial aid disbursements—to maintain accurate balances and comply with accounting practices.
  • Research discrepancies in financial information and/or documentation (purchase orders, invoices, deposit receipts) to ensure accuracy before processing.
  • Support cyclical financial reporting and accounting functions for various district funds, ensuring compliance with established accounting and reporting requirements.
  • Participate in the development and maintenance of policy and procedural changes, documenting work processes for assigned tasks.
  • May support the preparation of tax reports, including 1098‑T, 1099, collection reports, and COTOP.
  • Participate in monthly and year‑end closing processes, gathering data for audit and public record requests.
  • Stay current with changes in legal and procedural requirements for financial, budgeting, tax, and accounting operations.
Minimum Qualifications
  • Bachelor’s degree in Accounting, Business, Public Administration, or a related field plus four years of related experience.
  • Equivalent combination of education and experience that provides the skills, knowledge, and ability to perform the duties.
  • Knowledge and proficiency with financial ERP systems and Microsoft Office (Word, Excel, Access, PowerPoint) and standard office equipment.
  • Demonstrated cultural competency, sensitivity to, and understanding of, the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college staff, faculty, and students.
Desirable Qualifications
  • Higher education accounting, particularly at the community‑college level.
  • Certified Public Accountant (CPA).
Skills
  • Utilize pertinent software applications and adapt to new technology.
  • Prepare and maintain accurate records, performing essential bookkeeping and accounting procedures, including account and bank reconciliations.
  • Perform basic math, percentages, and ratios.
  • Interpret written procedures and write documents following prescribed formats.
  • Present information before groups.
  • Understand complex multi‑step instructions.
  • Communicate effectively with diverse groups.
  • Meet deadlines and schedules while dealing with constant interruptions.
Knowledge
  • Accounting and bookkeeping principles.

  • Occasional work performed alone.

Physical Requirements
  • Occasional standing, walking, stooping, kneeling, squatting, and climbing stairs.
  • Occasional lifting and carrying up to 15 lb.

  • Constant sitting and clear oral communication.
