The Billing Invoicing Specialist performs various duties to ensure accurate and timely billing and invoicing that directly supports all sales activities throughout the United States. They provide excellent customer service to both internal and external business partners.

Responsibilities
  • Ensure billing accuracy, coordinating billing and invoice requirements to meet sales and customer needs within a high‑volume environment.
  • Issue and post bills, receipts, and invoices, including invoice printing, mailing, email setup, and maintenance of output conditions in SAP.
  • Manage return‑to‑sender invoices, investigate root causes, and resolve issues.
  • Work with customers and Rainin Data Stewards to update the accounts receivable database in SAP with new accounts, upgrades, and missed information via the Commercial Operations Database.
  • Perform credit‑card reconciliation and follow up on customers’ requests for credit‑card stamps or receipts, working with credit‑card reports to resolve open items with errors.
  • Collaborate with Finance on credit approvals, credit blocks, and credit hold lists for review.
  • Troubleshoot Level 2 and Level 3 data issues with vendors and customers.
  • Follow up on customers’ requests for invoices.
  • Manage account status and balances, identify inconsistencies, research and resolve customer inquiries, and manage the customer disputes email inbox and SharePoint site.
  • Manage all credit memos, debit memos, credit and rebill requests, coordinate approvals, issue to the customer, and process refund requests to AP, ensuring documentation is in place.
  • Identify invoicing errors and manage the resolution process daily—follow up on SAP VFX3 error correction lists and billing Do‑lists.
  • Manage customer‑specific web portal invoice reconciliation and impact invoices.
  • Write thorough reports on billing activity with clear and reliable data.
  • Create and bill for onsite service orders daily, reviewing all documents to ensure correctness and contacting customers for corrections when necessary.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or GED.
  • 3–5 years’ experience in Billing / Invoicing Specialist or Order Entry roles with proven proficiency in researching and resolving billing and order entry issues.
  • Experience providing customer support in a high‑volume, fast‑paced environment.
  • Comfortable dealing with numbers and the processing of confidential financial information.
  • Advanced proficiency with MS Programs (Word, Outlook, etc.).
  • Excellent knowledge of Excel, including pivot tables, VLOOKUP, etc.
  • Experience with SAP is preferred.
  • Results‑driven, organized, and highly motivated.
  • Ability to multi‑task and prioritize.
  • Ensures consistent task completion with accuracy, attention to detail, and proactive follow‑up.
  • Excellent written and verbal communication skills, able to convey information and ideas clearly, concisely, and professionally.
  • Excellent organizational, interpersonal, customer service, and telephone skills.
  • Must be available to work overtime if needed.
