Location:
Oakland, CA (Hybrid – 4 Days per Week in Office)
VST Engineering is a growing multidisciplinary engineering consulting firm delivering transportation, infrastructure, and public works projects throughout California. We are seeking a motivated Billing Specialist to join our Finance team in Oakland.
This is an excellent opportunity for an early-career accounting professional who wants to build a long-term career in project accounting within the Architecture, Engineering, and Construction (AEC) industry. The ideal candidate is organized, detail-oriented, and eager to contribute to a collaborative team environment.
Responsibilities- Prepare and process client and subconsultant invoices for multiple engineering projects.
- Process Time & Materials, Fixed Fee, Milestone, and Cost-Reimbursable invoices.
- Submit invoices through client billing portals.
- Monitor invoice status and assist with collections and payment follow-up.
- Maintain project billing records and documentation.
- Assist with project setup, contract administration, and project closeout activities.
- Generate billing reports and support month-end accounting activities.
- Work closely with Project Managers and Accounting staff to ensure accurate and timely billing.
- Associate's Degree (AA) or Bachelor's Degree (BA) in Accounting, Finance, Business Administration, or a related field preferred.
- 1–3+ years of billing, accounting, accounts receivable, or project accounting experience.
- Experience in the Architecture, Engineering, Construction (AEC/AECE) industry is highly preferred.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and customer service skills.
- Experience using Deltek Ajera or similar project accounting software.
- Experience with Airtable or other project management/database platforms.
- Experience with accounting software such as Quick Books, Deltek, Sage, Microsoft Dynamics, Net Suite, or similar ERP systems.
- Familiarity with project lifecycle billing, contract administration, and accounts receivable processes.
