LOCATION: Oakland, CA
REPORTS TO: Site Operations Manager
Position SummaryThe Junior Office Manager works under the supervision of the Site Operations Manager and in collaboration with the Student Recruitment Manager
, performing a variety of complex and detail-oriented administrative duties focused on high school student admissions and enrollment
. In conjunction with the Student Recruitment Manager, the Junior Office Manager supports the outreach,
follow-up and conversion of prospective students
, and helps implement, monitor, and maintain student enrollment processes, activities, data, applications, and documentation. They have an aptitude for working in a highly collaborative environment,
are effective system and process followers who can also contribute to improving processes, and demonstrate strong follow-through, organization, and attention to detail
.
The Junior Office Manager’s responsibilities include, but are not limited to:
- Owns all aspects of student enrollment including recruiting, enrolling and ensuring accurate data entry into school student information systems.
- Owns all family communication around enrollment reconciliation.
- Owns enrollment team meetings(including Student enrollment Review Team structure).
- Works with student recruitment to coordinate and implement office technology and communication systems, including providing ongoing training to office staff on office technology and communication systems, and office policies and procedures.
- Owns student information systems - data maintenance
- Works with Site Operations Manager to analyze, coordinate, and organize office operations and procedures such as new student applications, registration, subs, , preparation of materials, the flow of correspondence, filing, requisition of supplies, and other clerical services.
- Works with student recruitment to evaluate office production, revise procedures, and/or devise new forms to improve the efficiency of workflow.
- Actively participate in key student recruitment events.
- Maintains regular communication with Site Operation Manager and Student Recruitment Manager.
- Attends mandatory professional development and relevant training, as assigned.
- Completes other tasks as needed.
- Associate’s degree (A.A.) or equivalent from a two-year college or technical school; and four years related experience and/or training; OR equivalent combination of education and experience, in a large organization or school.
- Spanish bilingual
- Departmental budget management, database management, spreadsheet analysis, and system applications experience.
- Excellent organizational and project management skills, and ability to follow up with prospective students and families after recruitment events, converting interest into completed applications and enrollment, managing each student’s admissions case end-to-end.
- Strong process management, family follow-up, and time management:
Excellent case management and tracking, including navigating student transcripts, enrollment documentation, cumulative files, and confidential student records. - Outstanding problem-solving skills and meticulous attention to detail.
- Effective oral and written communication skills with an ability to communicate with various constituencies and to work comfortably with a variety of staff at all levels within the organization.
- Proactive, independent thinker, and goal-oriented.
- Excellent team player with a high degree of willingness to be hands-on and do whatever it takes to support the success of Education for Change Public Schools.
- Knowledge of modern office methods, practices, and procedures; principles of office management.
- Knowledge of personal and/or network computer skills.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, parents, teachers students, and the general public.
