We invite you to apply for the Client Delivery Specialist (Mass Tort Legal Assistant) position in our Oakland, CA office. This role works three days onsite and two days remote.

Responsibilities

Strategic Workflow Ownership

  • Manage full lifecycle workflow for assigned attorneys.
  • Proactively anticipate attorney needs, manage priorities, and resolve administrative challenges with minimal supervision.
  • Coordinate and track ongoing projects, ensure deadlines and deliverables are met, monitor milestones, update status reports, communicate progress, and assist with project plans, timelines, and resource allocation.
  • Handle special projects and other duties as assigned to support attorney practice efficiency.
  • Effectively use workflow management software to log and manage workflow.

Conflicts, NBI & Engagement Process Leadership

  • Prepare and process new matter forms, request conflict checks, and open new files.
  • Coordinate intake and engagement processes, maintain documentation, and reduce repetitive attorney involvement.

Billing, Collections & Financial Coordination

  • Assist attorneys with tracking and monitoring alternative fee arrangements.
  • Assist attorneys with automation, tracking, and monitoring of matter budgets.
  • Partner with the billing team to oversee time entry, billing inquiries, and collections.

Client & Cross‑Functional Coordination

  • Coordinate client communications, manage sensitive information, and serve as a liaison between attorneys, clients, and internal departments.

Email & Administrative Optimization

  • Proactively manage attorneys’ inboxes, prioritize and flag urgent communications; draft, review, and respond to emails on behalf of attorneys; organize and archive correspondence.
  • Provide general administrative support: maintain attorney contacts; track CLE and membership requirements and activity.
  • Operate office equipment as needed (PCs, printers, phones, copiers, facsimiles, typewriters).
  • Conduct all business confidentially and handle timekeeper demands calmly under pressure.
  • Review and route incoming mail and fax communications; prepare and process outgoing mail and faxes; arrange specialized services as required.
  • Assist in coordinating attorneys’ calendars, meetings, travel arrangements, and itineraries.

Document & Matter Management

  • Prepare, edit, format, and proofread legal documents, correspondence, and presentations with high accuracy; manage version control, file organization, and secure storage in compliance with firm policies; facilitate execution, filing, and distribution of legal documents.
  • Type, transcribe, revise, and proofread legal documents accurately; prioritize assignments; meet specific deadlines.

Practice Alignment & Institutional Knowledge

  • Show proficiency in the assigned Practice Specialty Center (practice‑group‑specific duties).
  • Takes responsibility for exchanging information, documenting workflows, and sharing training tips for maximum effectiveness.
  • Demonstrate effective teamwork and communication with team members and all firm personnel; participate in regular meetings to discuss current projects and workflow.
  • Delegate tasks to other teams when appropriate to ensure coverage, timely completion, and quality control.

Technology, AI & Upskilling

  • Identify opportunities for process improvements.
  • Leverage automation and dashboards to improve tracking, organization, and execution of work.
  • Participate in AI and technology related trainings to maintain proficiency.
  • Research emerging tools and best practices and recommend process improvements to streamline workflows, increase accuracy, and enhance service delivery.
Qualifications

Education

  • Bachelor’s degree with major coursework in a related field; or commensurate professional and educational experience.
