Position: Assistant Program Specialist (Customer Service Programs)

AC Transit is seeking a highly organized, customer-focused professional to join our team as an Assistant Program Specialist. This position provides administrative, technical, and programmatic support for customer-facing initiatives such as AC Transit’s institutional pass programs that improve access to public transportation throughout the East Bay.

The initial assignment will support the District's Student Transit Pass Program, collaborating with schools, community partners, students, and District staff to administer a vital transit benefit program to the communities served. Assignments are subject to change based on operational needs, and incumbents may be assigned to support other customer service, community outreach, mobility, or special programs.

The Position:

Under general supervision, the position provides administrative and technical support for customer-facing initiatives and institutional pass programs; ensures adherence to AC Transit, state, federal laws, and regulations related to the area of assignment to achieve the highest levels of safety and quality of service delivery, and customer engagement. Initially, under close supervision, incumbents receive training and learn policies and procedures, specific methods, and regulations relevant to the assigned program(s).

  • Assists in developing, coordinating, and implementing, functions and activities in support of an assigned program; monitors program performance; performs a variety of administrative, coordinative and technical support duties for a designated program or programs.
  • Ensures compliance with federal, state, local, and District policies, regulations, rules, and guidelines governing the designated program, including those established by vendor partners such as Clipper, the regional fare payment system.
  • Performs a variety of general office support work including preparing, tracking, and managing shipments; organizing and maintaining various files and databases in a database management application such as Microsoft Access and customer relationship management systems such as Salesforce; creating correspondence, reports, forms, and specialized documents; and proofreading and checking materials for accuracy, completeness, and compliance with departmental policies and regulations.
  • Assists in establishing, entering, and maintaining the data needed for record-keeping in various systems, documenting program compliance and administration; resolves operational issues; improves service delivery.
  • Participates in the implementation of policies and procedures to ensure activities comply with established rules, regulations, ordinances, and procedures.
  • Serves as a liaison and provides customer service to participants, staff, and community organizations; provides presentations, information, and assistance regarding assigned programs and services; receives and responds to inquiries relating to assigned area of responsibility; communicates issues to staff as appropriate.
  • Acts as a program representative with external organizations to relay or obtain relevant information regarding program activities; coordinates department services and activities, including events, with other District departments, staff, and outside agencies.
  • Prepares, assembles, copies, collates, and distributes a variety of program-specific information, forms, records, reports, and data as required.
  • Learns to coordinate and conduct training activities related to program assignment; contributes to the development of training curricula and materials.
  • Assists higher levels in administering the assigned programs and activities.
