The City of Oakland is currently recruiting to fill one Legal Administrative Assistant vacancy within the City Attorney’s Office. We are looking for someone who is:- Highly organized and detail-oriented: You will need to be able to multitask and prioritize while focusing on the details and steps of your work and the final products.
- Adaptable: You will need to be flexible in changing situations and environments, which may include receiving instructions from multiple attorneys and senior-level staff members.
- A self-driven team player: You will work in a fast-paced environment and need to take initiative without waiting for specific instructions to stay on top of what needs to be accomplished.
- An exceptional communicator with people skills: You will interact with various staff members, other departments, and the public, so you will need to demonstrate diplomacy, politeness, and tact when building and maintaining effective working relationships to achieve shared goals.
- Professional and results-driven: You will be expected to demonstrate a strong work ethic by proactively meeting deadlines, producing quality work products, and taking accountability for the outcome of assigned projects.
- Drafting and typing a variety of complex legal documents, including pleadings, resolutions, ordinances, legal opinions, arbitration briefs, contracts, agreements, legal forms, interoffice memoranda, and correspondence.
- Reviewing finished documents for accuracy, formatting, compliance with court rules, policies, procedures, and appropriate English usage.
- Preparing templates, filing pleadings, and other documents with the courts.
- Scheduling and maintaining appointment and hearing calendars.
- Scheduling deposition and conference rooms.
- Receiving, referring, and responding to telephone calls and visitors.
- Processing mail.
- Maintaining attorney files.
- Reviewing and obtaining attorney signatures on a variety of administrative and legal documents.
- Receiving overflow work from the Supervising Legal Administrative Assistant.
- Your work will have a direct impact on the City’s ability to provide important public services to the Oakland community, which has a rich and dynamic history.
- You will be an integral component of the team, playing a key role in supporting attorneys and maintaining the organization and efficiency that allows the office to function smoothly.
- As a full-service City, Oakland will continually provide you with daily challenges and variety that keep things exciting.
- City of Oakland offices are located mainly in the heart of Downtown Oakland and are easily accessible by public transportation.
- You will need to provide varied and complex administrative assistance to multiple attorneys.
- You will be handling multiple tasks with competing and critical deadlines.
- You will need to file, calendar, and serve legal documents, which must be done in compliance with court rules.
