The International Sales Coordinator is responsible for supporting the International Sales Team to enable revenue growth and build customer loyalty to Silver Oak, Twomey, Timeless, Ovid and Prince Hill through customer service, order fulfillment, logistics, compliance, market analysis and sales support
KEY RESPONSIBILITIES:
International Sales Coordination
- Collaborate closely with the International Sales Team to manage importer allocations, including order fulfillment, labeling, export documentation, and accounts receivable.

- Build strong relationships with importers and serve as their primary point of contact for order fulfillment, ensuring exceptional customer service while respecting cultural norms and time zones.
- Facilitate international sales efforts to meet the International Sales Plan, including working with the International Sales Team and utilizing Wine Services data collection, create and maintain a targeted list of key accounts per country .
- Coordinate international samples, POS materials, merchandise shipping, and trade event consolidations and execute in a timely and accurate manner
- Utilize, update and maintain key information in Bottlebooks.
- Create and maintain Standard Operating Procedures (SOPs) for importers, detailing labeling, documentation, and other requirements.
- Prepare and manage price lists, personalized allocation letters, and importer pricing for all SKUs.
- Enter purchase orders into internal systems and coordinate inventory transfers for special SKUs.
- Arrange compliant bottle and case labeling, working with in-house teams or outsourced partners as needed.
- Schedule shipment pickups with freight forwarders, manage labeling coordination, and prepare export documentation in collaboration with the Operations Compliance Coordinator.
- Conduct monthly audits of ship dates, reconcile orders, and handle TTB Drawback Credit Program filings.
- Maintain accurate records of importer and sales contact information, terms, commissions, and labelling requirements.
- Provide the Accounting Team with documentation for invoicing, accounts receivable, and auditing.
General Responsibilities:
- Assist with cross-training in all sales support activities to ensure coverage during busy periods or staff absences.
- Support additional tasks and responsibilities as assigned.
QUALIFICATIONS:
- Bachelor’s degree or equivalent experience in related field.
- International/Export experience preferred.
- 2-5 years of Customer Service or related experience. Proven ability to manage clients from diverse cultural backgrounds.
- Computer literacy;
Great Plains Dynamics, Microsoft Word, Excel, and strong PowerPoint experience. - Strong interpersonal, written, and verbal communication skills
- Ability to deal effectively with a diverse set of individuals at all organizational levels, creative and innovative team player.
- Ability to work in and collaborate in a team environment and support remote sales managers.
- Strong organizational skills and attention to detail
- Proven ability to handle multiple tasks and time sensitive deadlines with tact and diplomacy.
- Proficient and professional telephone etiquette
- Excellent problem resolution skills
- Flexibility and willingness to work in a dynamic environment.
- Winery experience preferred.
