Customer Service Administrative Assistant
Job Description
The Customer Service Administrative Assistant supports daily office operations and helps build strong customer relationships by processing requests, maintaining customer accounts, and responding to inquiries. This role provides administrative and operational support to the customer service leadership team, ensures visitors and callers receive professional assistance, and contributes to smooth office functions through organized documentation and efficient communication.
Responsibilities
+ Assist in establishing and maintaining positive customer relationships by processing customer requests, maintaining their accounts, and responding promptly to their inquiries.
+ Provide administrative and operational support to the customer service leadership team, ensuring day-to-day activities run smoothly.
+ Perform general administrative tasks such as data entry, document preparation, and record maintenance.
+ Answer and direct incoming phone calls to the appropriate departments or employees in a professional and courteous manner.
+ Greet visitors and guests warmly, ensure they are properly signed into the building, and guide them to the appropriate department or employee.
+ Learn and understand different areas of daily operations to serve as a back-up for various tasks when necessary.
+ Exercise sound judgment and discretion when handling sensitive information and making decisions.
+ Compose, type, and distribute professional correspondence, memoranda, emails, and faxes.
+ Maintain an organized filing system for physical and electronic documents to ensure easy retrieval and proper record keeping.
+ Assist with special projects as assigned, contributing to team goals and organizational initiatives.
Essential Skills
+ At least 1 year of administrative experience, including administrative assistance and administrative support responsibilities.
+ Proficiency with Microsoft Office applications.
+ Customer service experience in an office or administrative environment.
+ Knowledge of office management practices and procedures.
+ Minimum of a high school degree.
+ Knowledge of office equipment, including printers and fax machines.
+ Excellent time management skills with the ability to prioritize work effectively.
+ Strong attention to detail and problem-solving skills.
+ Excellent written and verbal communication skills.
Additional
Skills & Qualifications
+ 1-2 years of experience as an Administrative Assistant is a plus.
+ Experience supporting customer service teams or managers.
+ Ability to learn new tasks quickly and provide backup support across different functional areas.
+ Comfort working with professional correspondence, including emails, memoranda, and formal documents.
Work Environment
This is a fully onsite role in an office-based environment. The position involves frequent interaction with visitors, guests, and internal team members, as well as regular use of standard office equipment such as computers, printers, and fax machines. The workday typically includes answering phones, greeting visitors, and managing administrative tasks at a dedicated workstation within a professional office setting.

This is a Contract to Hire position based out of Oakland, NJ.
Pay and Benefits
The pay range for this position is $22.00 - $25.00/hr.
