We are currently seeking a dedicated and motivated Real Estate Brokerage Administrator to join our dynamic team. The ideal candidate will have a minimum of 2 years’ experience in the real estate industry, strong knowledge of RECO compliance, and exceptional organizational and communication skills.

Key Responsibilities Administrative & Front Desk Support
  • Manage reception and front desk duties, including answering calls
  • Coordinate cheque drop offs and pickups
Brokerage & Transaction Support
  • Review transaction documents submitted by agents for completeness and RECO compliance
  • Organize staff training sessions on RECO compliance and Transaction Desk usage
  • Maintain and organize documents within the brokerage’s internal system (Transaction Desk)
  • Maintain and update the client database
  • Send invoices to other brokerages/lawyers
  • Receive commission instructions and prepare commission breakdowns (listing agent and co-op agent)
  • Issue cheques for landlords
  • Send deal paperwork to buyers’ and sellers’ lawyers
Executive Administrative Support to the Broker of Record
  • Collaborate closely with clients to gather required information
  • Prepare listing paperwork
  • Arrange photoshoots
  • Coordinate key pick-up/drop-off and sign installation
  • Maintain confidentiality and professionalism when handling sensitive information
  • Coordinate property showings and client tours
  • Liaise with clients, brokers, and stakeholders to ensure smooth transactions
Requirements
  • Minimum 2 years’ experience in a team or brokerage administrative role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience using Transaction Desk, Back Office, Realm, and Broker Bay
  • Excellent organizational and time-management skills
  • Exceptional communication and interpersonal abilities
  • Detail-oriented with a high level of accuracy
  • Ability to work independently and within a team
  • Fluency in Arabic is considered an asset
  • Valid driver’s license and access to a vehicle is considered an asset
