Job Summary
The student assistant will support the daily operations in the Dean of Students Office and report to the Executive Assistant to the VP/Dean of Students and Office Manager by assisting with administrative, technological and operational tasks. This position provides an excellent opportunity to gain hands-on experience in operational processes within a higher education environment.
The assistant will provide accurate and timely information by answering the office phone or greeting guests who visit the office. Additionally, this student would be expected to support the Dean of students' office in constructing basic documents, making copies, proofreading, creating announcements, filing and scanning as directed. The ideal candidate will be reliable, detailed oriented, responsible possess strong organizational skills and the ability to work independently.
Responsibilities
- Answer and route phone calls, greet and direct visitors
- Organize and maintain office records, including filing and document management.
- Assist office staff with events, catering, and supplies
- Ability to design best practice tools and templates for greater efficiency
- Assist with graphic design requests for high level presentation materials for organizational communication and events
- Office duties including stocking and inventory of supplies, sorting and distributing the mail.
- Conduct research and prepare materials for departmental projects and meetings.
- Assist with data entry and analysis.
- Maintain confidentiality of all student-related information.
- Perform other duties as assigned
Qualifications
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong attention to detail and ability to manage multiple tasks efficiently.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaboratively in a team setting.
- Must be highly organized, disciplined, dependable, punctual, self-motivated, and flexible.
- Ability to use good judgement and to exercise discretion.
- Coursework or prior experience in business, accounting, or finance.
- Experience in an office setting or familiarity with administrative processes.
