Position: Workday Change & Adoption Manager
Job Summary

CIT invites applications for the position of Workday Change and Adoption Manager, a key role in Oberlin's ERP Optimization Initiative.

The Workday Change and Adoption Manager plays a critical role in then successful implementation of the Workday project which entails replacing our 30-year-old legacy system, Banner, with a cloud-based ERP, Workday, in the areas of Human Resources and Finance. This role is central to ensuring the successful adoption of Workday across the institution by leading organizational change, stakeholder engagement, and user readiness efforts for a multi-year enterprise transformation.

This position is joining Oberlin at a pivotal moment, helping shape how the institution transitions from a legacy ERP system to a modern platform that will support the College for decades to come.

This is a full-time, 1-year renewable position reporting to the Director of IT Project Management.

Responsibilities

Change Management Strategy

* Develop, manage and execute a change management strategy including process, system and data changes. Continuously gauge the needs and expectations of faculty, staff and students, ensuring their interests and needs are addressed. Identify and implement continuous improvement opportunities. Define key performance indicators (KPIs) for measuring the success of change management efforts. Conduct stakeholder impact assessments and organizational readiness evaluations to identify high-impact groups and tailor change strategies accordingly.

Change Champion Network

* Build, lead and empower a group of "Workday Champions" across campus to provide department level input, communication and support as well as peer to peer troubleshooting post go live.

Communications

* Execute the project communication plan including writing emails, newsletter articles, website content, etc. Ensure alignment with the overall project strategy and messaging. Develop targeted, audience-specific communication strategies for faculty, staff, and administrative units to support effective engagement and adoption.

Training Development & Documentation

* Develop the training plan, training repository, training documentation, and courses. Align training with Workday business process changes and support the transition to standardized, best-practice workflows.

Training Delivery

* Create training videos and deliver in person training. Ensure training effectiveness through feedback loops, user assessments, and continuous refinement of materials.

Project Team Collaboration

* Participate in project team meetings and provide regular updates on change management progress. Work closely with the project team to identify potential risks to user acceptance. Partner with functional leads to ensure a positive change experience for end users. Contribute to project governance by identifying, tracking, and escalating change-related risks and ensuring alignment with project milestones and timelines.

Metrics & Reporting

* Develop dashboards and reporting mechanisms to track adoption, training completion, engagement, and readiness. Provide regular updates to project leadership and steering committees

Success in this role will be measured by:

* High levels of user adoption and engagement across campus

* Successful training completion and user readiness prior to go-live

* Minimal disruption during go-live and strong post-go-live stabilization

* Positive user experience and confidence in Workday

* Strong alignment and engagement with campus stakeholders and leadership

Required Qualifications

* Bachelor's degree in Communications, Organizational Development, or similar field

* Minimum 2 years in a training, communications, or change management role

* Minimum 1 year experience managing change or training in Workday HCM & Finance

* Experience in managing internal communications, including leadership forums, newsletters, and intranet sites

* Experience in managing change through sponsorship management, communication, and training plans

Knowledge, Skills and Abilities:

* Exceptional writing skills and creative outlook with strong attention to detail, editing, and tone

* Works independently and can provide high-quality solutions

* Ability to prioritize and perform multiple tasks in a dynamic and fast-paced team environment

* Creativity in building communication and trainings assets or change management tools

* Ability to manage multiple projects concurrently while meeting deadlines

* Outstanding organizational and planning abilities

* Must be an effective team player and proficiently work with cross-functional teams

* Strong ability to influence stakeholders, manage resistance, and drive adoption in a complex organizational environment

* Data-driven mindset with the ability to measure and report on change effectiveness

Desired Qualifications

* Higher education experience

* Knowledge of IT Service Management (ITSM) frameworks such as ITIL.

* PROSCI or ACMP Change Management certification
