Job Summary

The License & Fuel Tax Coordinator is responsible for processing, tracking, and maintaining accurate records related to vehicle licensing, permitting, and fuel tax compliance across multiple jurisdictions. This position ensures that all company and customer assets remain compliant with state and federal regulations, including IRP and IFTA requirements. The coordinator assists with audits, renewals, and reconciliations to maintain data accuracy and compliance.

Essential Duties and Responsibilities
  • Processes IRP and base plate renewals, supplements, and transfers for company and customer fleets.
  • Prepares and submit IFTA fuel and mileage tax reports in accordance with state and federal requirements.
  • Monitors, tracks, and reconciles fuel and mileage data to ensure accuracy and compliance with tax regulations.
  • Assists in maintaining accurate vehicle licensing and permitting records within company systems and databases.
  • Supports titling processes, including corrections, replacements, and lienholder updates.
  • Communicates with state agencies, vendors, and internal departments regarding plate renewals, permit status, and documentation needs.
  • Reviews and verifies invoices, renewal statements, and supporting documentation for accuracy prior to submission.
  • Assists in preparing documentation for audits and compliance reviews.
  • Maintains digital filing systems and records in Docu Ware, Enrich, and other platforms.
  • Provides exceptional customer service to internal teams and external partners through timely and professional communication.
  • Performs other duties as assigned.
Requirements
  • High school diploma or GED required; associate's degree in business, transportation, or related field preferred.
  • 1-3 years of experience in licensing, fuel tax, or permit coordination, preferably in the transportation or trucking industry.
  • Familiarity with IRP and IFTA processes and regulations.
  • Active notary, or the ability/willingness to become one.
  • Experience with AS400, Enrich, or other fleet management software a plus.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Effective communication, interpersonal, and problem-solving skills.
  • Strong organizational skills with exceptional attention to detail.
