Job Description

The Seasonal Labor Coordinator is responsible for supporting the day-to-day administrative and labor coordination needs of the Operations team during the peak season. This position plays an important role in ensuring accurate attendance and timekeeping records, supporting workforce scheduling and labor deployment, maintaining employee information, and producing daily labor and productivity reports.

The Seasonal Labor Coordinator works closely with Operations leadership, supervisors, Human Resources, and associates in a fast-paced production and distribution environment. The ideal candidate is highly organized, detail-oriented, comfortable working with employee data and reporting, and able to adjust quickly as staffing and operational needs change throughout the shift.

This is a seasonal, hourly/non-exempt position. Flexible availability, including weekends, extended hours, and overtime during peak business periods, may be required.

Essential Duties and Responsibilities

  • Manage daily associate attendance records and compare attendance logs with electronic timekeeping data to ensure accurate time records.
  • Identify missed punches, attendance discrepancies, and other timekeeping issues and work with Operations leadership to ensure timely resolution.
  • Support associates and supervisors with questions related to timekeeping, attendance, schedules, and clocking procedures.
  • Partner with Operations managers and supervisors to create and maintain weekly associate schedules based on staffing and production needs.
  • Assist with the development and maintenance of daily labor assignments and staffing schematics to ensure associates are deployed appropriately throughout the operation.
  • Monitor staffing levels throughout the shift and communicate attendance issues, call-offs, and potential labor shortages to Operations leadership.
  • Update schedules and labor assignments as operational priorities, staffing levels, and production needs change.
  • Maintain an understanding of ADP-based timekeeping and workforce management systems and the processes used within the production and fulfillment operation.
  • Manage and track associate vacation and time-off requests in partnership with Operations leadership.
  • Prepare and distribute daily labor, attendance, productivity, and work differential reports for Operations, Finance, and other business partners.
  • Maintain accurate employee records, spreadsheets, schedules, reports, and other workforce-related documentation.
  • Assist Operations leadership with workforce planning and administrative support throughout the peak season.
  • Maintain confidentiality when handling employee, payroll, attendance, and other sensitive information.
  • Communicate professionally and effectively with associates, supervisors, managers, Human Resources, and other business partners.
  • Provide support on the production or distribution floor during downtime or when additional operational coverage is needed.
  • Assist with other administrative, operational, and workforce coordination responsibilities as assigned.
  • Work flexible hours, extended shifts, weekends, and overtime as required to support peak-season business needs.
Physical Demands and Work Environment
  • Regular keying/typing and computer work.
  • Frequent sitting, standing, and walking throughout the workday.
  • Ability to sit and/or stand for an entire shift of approximately 8–10 hours.
  • Ability to regularly move between an office environment and production, fulfillment, or distribution areas.
  • Work requires constant mental and visual attention and the ability to remain alert while completing repetitive and diversified tasks.
