Position Overview
This is a general administrative and accounting support role for the homeowners' association. The duties listed below reflect the primary responsibilities of the position; however, tasks may vary over time, and additional support duties may be assigned as workflows evolve. The role works closely with the HOA Manager and supports resident communications, system organization, and administrative and accounting-related processes within Vantaca.
This position does not include decision-making or financial approval authority.
- Respond to general resident inquiries and route items as appropriate
- Support broadcast communications and manage incoming calls and emails
- Document all interactions accurately in Vantaca, including researching orphaned emails
- Create, assign, and track tasks to ensure timely follow-up
- Upload, organize, and maintain documents and records in Vantaca
- Manage print queues and mailings as needed
- Receive and log vendor invoices; match to approvals and flag discrepancies
- Assist with meeting notices, compliance follow-ups, and standard communications
- Pull standard reports and compile information for internal review
This role does not include approving transactions, posting accounting entries, or providing financial advice.
Qualifications- Administrative experience required; HOA or property management experience preferred
- Familiarity with Vantaca or similar systems is a plus
- Strong organization, communication, and attention to detail
Between 25-30 hours a week.
Compensation$22.00 per hour
