DescriptionPROJECT / PURCHASING COORDINATOR
REPORTS TO: LEAD DESIGNER
GENERAL SCOPE RESPONSIBILITIES
- Process all incoming purchase requests
- Obtaining quotations from Vendors
- Assist with Vendor Bid analysis
- Issuing Purchase Orders in Quick Books
- Process Orders and Track all PNC Credit Card payments and Invoices
- Maintain Payment Receipts for Concur Credit Card Statement Reporting
- Process Invoice Payments with Accounts Payable Depts as needed, requesting the required Oracle Purchase Orders and Invoice submission
- Order and maintain Office & Breakroom Supplies
- Maintaining Vendor Log Sheet, Project Spreadsheets, and General Record Keeping
- Monitor Order Status and update Project Books regularly
- Regular communication with the Receiving warehouse on order arrivals
- Resolve Order issues with Vendors (i.e., damages, facilitating return to vendors' shipments)
- Coordinate Order Logistics with Vendors, Logistics Team, and Receiving Warehouse/s
- Assist with Project Close-out and Request internal Accountant Bill Backs
- Order and maintain Office & Breakroom Supplies
- Answer incoming calls for the office
REQUIRED EXPERIENCE AND SKILLS
- Professional, results-oriented person with creative problem-solving skills
- Excellent communication skills, both verbal and written
- Able to effectively coordinate and balance a number of projects simultaneously
- Ability to work with team members
- Must have 4-5 years of purchasing experience, preferably in FF&E
- Proficient computer skills, with knowledge of Quick Books and Microsoft Outlook, Excel, and Word Applications
- Previous experience in Purchasing for Hotel/Restaurant Operations, High-end Luxury Residential projects a plus
