We are currently looking for a high-energy, ethical, and motivated Administrative Professional to contribute to our growing and inspired team.

Job Overview

A successful candidate must be a self-starter, disciplined, very well organized, and possess a positive attitude regarding varied work duties. Must also possess excellent communication skills and an out-going personality.

Job Description

• Greet, welcome, direct and announce visitors at the front desk.
• Assist clients with forms.
• Work with a multi-line phone system to answer incoming calls to screen and forward to appropriate individuals.
• Client contact for outstanding items.
• Schedule appointments for clients to meet with Partners and Client Managers.
• Complete projects tasks in a timely manner as most are time-sensitive.
• Scan documents as needed.
• Sort and deliver client documents to staff.
• Enter client information and updates in our various systems.
• File client documents and tax returns in appropriate files.
• Process incoming and prepare outgoing mail.
• Process client payments.
• Ensure lobby and kitchen is kept clean and orderly on a daily basis.
• Restock beverage refrigerators daily.
• Unpack and stock office and kitchen supplies.

Required Skills

• Professional appearance, as selected candidate will be the first point of contact for the firm.
• Courteous and professional phone skills.
• Detail oriented and exceptional organizational skills.
• Self-motivated to meet deadlines and complete tasks without reminders.
• Comfortable working in a paperless environment.
• Proficient knowledge of Microsoft Office programs (Excel, Word, Outlook).
• Ability to multi-task and work independently.
• Adaptable to change and ability to learn new skills.
• Basic knowledge of computers and willingness to learn new programs.
• Quality focused.

Qualifications

• 3-5 years administrative/customer service experience in a professional environment
• High School Diploma
