We are currently looking for a high-energy, ethical, and motivated Administrative Professional to contribute to our growing and inspired team.
Job OverviewA successful candidate must be a self-starter, disciplined, very well organized, and possess a positive attitude regarding varied work duties. Must also possess excellent communication skills and an out-going personality.
Job Description- Greet, welcome, direct and announce visitors at the front desk.
- Assist clients with forms.
- Work with a multi-line phone system to answer incoming calls to screen and forward to appropriate individuals.
- Client contact for outstanding items.
- Schedule appointments for clients to meet with Partners and Client Managers.
- Complete projects tasks in a timely manner as most are time-sensitive.
- Scan documents as needed.
- Sort and deliver client documents to staff.
- Enter client information and updates in our various systems.
- File client documents and tax returns in appropriate files.
- Process incoming and prepare outgoing mail.
- Process client payments.
- Ensure lobby and kitchen is kept clean and orderly on a daily basis.
- Restock beverage refrigerators daily.
- Unpack and stock office and kitchen supplies.
- Protect firm's value by keeping information confidential and maintaining client confidentiality.
- Professional appearance, as selected candidate will be the first point of contact for the firm.
- Courteous and professional phone skills.
- Detail oriented and exceptional organizational skills.
- Self-motivated to meet deadlines and complete tasks without reminders.
- Comfortable working in a paperless environment.
- Proficient knowledge of Microsoft Office programs (Excel, Word, Outlook).
- Ability to multi-task and work independently.
- Adaptable to change and ability to learn new skills.
- Basic knowledge of computers and willingness to learn new programs.
- Quality focused.
- 3-5 years administrative/customer service experience in a professional environment
- High School Diploma
