Job Description:

Schedules meetings, prepares agendas, takes minutes, and distributes materials as necessary. Reviews and updates board manuals annually, overseeing Board of Director meetings and responsibilities. Distributes pre‑meeting information and completes minutes within two business days for review. Facilitates written communication by grasping facts from verbal, outline, or note form, performing necessary research, and ensuring document accuracy. Establishes office policies and standards, organizing office operations and procedures.

Supports administrative office staff by providing guidance and training. Controls correspondences, reviews, and approves supply requisitions, and coordinates with other agencies and organizations. Updates organizational memberships and maintains office equipment. Ensures filing systems are maintained and up to date, defining procedures for record retention and ensuring file security. Plans and implements office systems, layout, and equipment procurement, maintaining and replenishing inventory.

Anticipates needed supplies and performs other related duties as required. Other duties as assigned.

Knowledge, Skills, and Abilities:
  • Additional coursework in computers, business, and accounting required.
  • Proficiency in Microsoft Office Products (Excel, Word, Outlook, PowerPoint) and familiarity with AS400, Access, and Publisher.
  • Must possess excellent written, oral, and computer skills in addition to good communication skills, including the ability to read, write, and speak conversational English effectively.
  • The incumbent must demonstrate excellent interpersonal skills, effective team‑building skills, analytical and problem‑solving skills, attention to detail and a high level of accuracy, very effective organizational skills, and the ability to manage time efficiently.
  • Ability to work independently or in a team environment, display professional interactions with all levels of internal and external customers, and deal with data that is of a sensitive and confidential nature.
  • Able to take initiative to solve issues, proactively prepare for upcoming events, adapt to new situations and responsibilities, and demonstrate creativity and latitude in problem‑solving.
  • Experience in a health‑related field, including strong ability to take minutes, compose letters, transcribe dictation, and use standard office equipment and operation of a personal computer is preferred. Working knowledge of medical terminology is helpful.
  • Preferred licensure as a notary public and knowledge of additional languages.
  • Understanding of regulatory guidelines (e.g., TJC, AOA) is required, indicating an ability to interface with multiple departments and utilize information technology and systems to extract and collate clinical and business information.
