Operations Manager, Office Administrator/ Coordinator

An integral part of the service department is the accurate preparation, submission, and tracking of warranty claims. This role directly supports customer satisfaction, service efficiency, and financial performance by ensuring claims are processed correctly and promptly in accordance with manufacturer requirements and company standards.

What You’ll DoKey Responsibilities Include
- Preparing, coding, and submitting all International and vendor warranty claims in a timely manner
- Ensuring compliance with all manufacturer and vendor warranty policies and documentation requirements
- Assisting technicians and service staff in determining warranty coverage for components and failures
- Reconciling warranty receivables with payments on a weekly accounting schedule
- Posting credits and charge-backs accurately and promptly
- Monitoring outstanding claims and following up on payments not to exceed 60 days
- Reviewing warranty charge-backs with the Service Manager and resubmitting rejected or underpaid claims with proper documentation
- Coordinating with the Service Manager on parts deemed serviceable by the manufacturer
- Ensuring warranty parts are properly cleaned, tagged, drained (when required), and prepared for shipment
- Staying current on warranty policy updates and product changes
- Communicating warranty updates and procedural information to service staff and technicians
Your attention to detail and ability to manage multiple priorities will help ensure operational efficiency and a positive customer experience.
What We’re Looking For- Minimum 3 years of experience in the medium/heavy-duty truck or automotive industry
- Strong understanding of manufacturer and vendor warranty guidelines, approval processes, and policies
- High level of product and technical knowledge
- Excellent organizational and problem-solving skills
- Clear written and verbal communication abilities
- Professional demeanor and strong commitment to teamwork and customer satisfaction
- Self-motivated with the ability to manage responsibilities independently
