Experienced Construction Project Coordinator

Ocala, FL | $50K–$60K/year | Monday–Friday
Schedule: 6:00 AM–2:30 PM OR 7:30 AM–4:00 PM

We’re looking for a highly organized, computer-savvy Construction Project Coordinator to support Project Managers and leadership from project start-up through closeout.

• Set up and maintain project files and documentation
• Coordinate permits, notices, bonds, subcontractors, and insurance
• Prepare and submit project submittals
• Manage purchase orders and rental equipment
• Assist with billing, change orders, lien waivers, and AR tracking
• Assist with project budgets and have a strong understanding of the financial side of construction projects
• Prepare and manage AIA documents to ensure projects are properly billed and payments are received
• Handle safety and compliance documentation
• Coordinate project closeout, warranties, and O&M documents
• Support Project Managers and communicate with vendors, subcontractors, and clients

• 5+ years of administrative experience
• 3+ years of construction/electrical industry experience
• Strong financial awareness and understanding of construction project finances
• Experience or familiarity with setting up and tracking project budgets, AIA documents, billing, and change orders
• High school diploma or equivalent
• Advanced Word, Excel, Outlook & Adobe/PDF skills
• Strong computer skills and ability to learn new software quickly
• Excellent organization, attention to detail, and follow-through
• Ability to manage multiple deadlines and priorities
• Strong communication and problem-solving skills
