Description
This is a responsible position which requires independent judgment, good multi‑tasking, and organizational skills. Duties include receiving, processing, and distributing inmate records, preparing and distributing inmate transport dockets, and maintaining inmate record files.
Responsibilities- Abide by the "Law Enforcement Code of Ethics" and comply with agency procedures, rules, regulations, Florida State Statutes, the Florida Model Jail Standards, and accreditation standards.
- Maintain accuracy and confidentiality of inmate records stored within the Classification Unit.
- Receive and process file folders from booking deputies, ensure all arrest and booking paperwork is complete and accurate, and data entry into the Jail Management System is accurate.
- Review all arrest affidavits, process for distribution, prepare case registers and other required judicial documents.
- Retrieve and process transport requests from the Clerk’s Office, judges, and attorneys; prepare court transport dockets for inmates leaving the facility for required court hearings.
- Conduct court clerk duties during first appearance through the week, assist the Duty Judge and attorneys during court proceedings.
- Enter court dispositions into the Jail Management System and process inmate classification files for release in an expedient manner.
- Run a full criminal history on all incoming inmates as directed; prepare and distribute copies required for judicial hearings.
- Review inmate files to ensure DNA is collected per FSS 943.325.
- Answer telephone calls and provide bonding information to the public, law enforcement and bail bonding agencies.
- Provide security of the teletype by ensuring only authorized personnel have access.
- Confirm and pull warrants for local law enforcement personnel after hours and on weekends.
- Confirm active warrants via the teletype for other jurisdictions after hours and on weekends.
- Monitor the In Court computer after hours and on weekends/holidays; process or distribute documents to the proper destination.
- Monitor ICE emails after hours and on weekends/holidays for pick‑up arrangements or detainer cancellations.
- Transport court paperwork for First Appearance to the courthouse in the morning and retrieve it afterward.
- Complete DMV forms when sent over by Visitation.
- Enter and remove warrants from FCIC/NCIC and RMS after hours and on weekends/holidays.
- Enter temporary emergency injunctions into FCIC after hours and on weekends/holidays and send injunction to the Communication Center.
- Maintain filing.
- Obtain inmate signatures from their housing location for First Appearance paperwork.
- Attend training as required.
- Ensure all office equipment is in good working condition and report any discrepancies to the Classification Supervisor.
- Perform any additional duties outlined in the Unit’s internal manual.
- Identify and recommend solutions for conditions or situations that inhibit efficient operation of the agency or the Classification Unit.
- Perform other related duties as assigned, including modified schedule or temporary re‑assignment during declared emergencies or activations, as determined by the Sheriff.
- High school diploma or GED.
- Ability to work with minimum supervision.
- Ability to follow instructions, organize and prioritize workload, considering importance and urgency of each task.
- Ability to handle highly sensitive information without compromising confidentiality.
- Ability to understand and follow English language instructions, both verbal and written.
- Ability to multi‑task and maintain composure in stressful situations.
- Ability to use and maintain general office equipment: copy machines, computers, and various computer programs.
- Normal sight, hearing, and physical agility required for standing, walking, and climbing stairs.
- Ability to work harmoniously with the public and agency personnel.
- Valid Florida driver’s license.
- Will possess or obtain NCIC/FCIC certification within six (6) months of assuming the position.
