Overview

Lead Medical Assistant role at Heart of Florida Health Center – Lead Medical Assistant plays a pivotal role in our primary care healthcare settings by combining clinical expertise with leadership and supportive responsibilities. Serves as a resource to other clinical support staff, MAs, and LPNs, offering clarification on processes, procedures, and skills as needed. Provides clinical training and assists with onboarding to ensure familiarity with clinical policies and procedures.

Helps to coordinate clinical workflow, ensuring essential components and activities of the day are executed and documented, keeping accurate records of activities supporting all healthcare measures and regulations. Ensures and participates in the delivery of compassionate, effective, and high-quality care for patients.

Qualifications / Requirements
  • High School diploma or equivalent required;
    Associate's degree preferred
  • At least two years of medical office, clinic, or hospital experience required
  • Two years of leadership or training experience preferred
  • State of Florida MA/CNA/LPN Certification, CPR /BLS required
  • Strong knowledge of medical terminology, procedures, and equipment
  • Proficiency in EHR systems and clinical workflow optimization
  • Leadership, communication, and multitasking abilities
  • Demonstrates knowledge and understanding of patient privacy rights
  • Professional and customer-focused demeanor
  • Ability to work with others in a spirit of teamwork and cooperation
  • Ability to adapt easily to changing conditions and work responsibilities
  • Ability to influence others to perform their jobs effectively and to collaborate with the CNM when making decisions
Essential Functions
  • Greets patients and visitors in a friendly, professional manner
  • Completes tasks as outlined in the EMR and supports staffing needs
  • Provides coverage for providers and specialty areas when needed
  • Works as a member of the clinical leadership team
  • Provides feedback to Center Nurse Managers and senior leaders on daily clinical workflow
  • Assists with assigning team members’ work schedules in collaboration with Center Nurse Managers
  • Oversees daily work performance of the clinical team to ensure accuracy, efficiency, timeliness, and policy adherence; reports issues to Center Nurse Managers
  • Serves as a resource to clinical support staff, answering questions and clarifying processes or procedures
  • Performs safety checks and ensures adherence to safety, cleanliness, and regulatory standards
  • Trains/assists with training plans for new staff to ensure familiarity with clinical policies/procedures
  • Direct patient care: takes vital signs, administers injections, draws blood, and assists with minor surgical procedures
  • Assists with patient flow to ensure timely and efficient patient visits
  • Medication administration and vaccines via various routes
  • Assists with patient calls and provider orders (e.g., refills, venipunctures, CLIA-waived testing)
  • Patient triage: assesses and prioritizes patients based on severity of symptoms
  • Conducts daily machine checks and logs, ensures compliance, and reports concerns to Center Nurse Managers
  • Assists physicians and nurses during examinations and procedures
  • Acts as a backup for clinical team members as needed
  • Attends team meetings; participates in or conducts team huddles
  • Maintains CPR certification
  • Maintains patient confidentiality and HIPAA compliance
  • Places supply orders and monitors inventory, including vaccinations and vaccine expirations
  • Collaborates with the vaccine manager on site vaccine needs
  • Reviews and uploads temperature logs for vaccination refrigerators/freezers; reports excursions
  • Oversees weekly vaccine inventories and maintains vaccination logs
  • Performs chart audits and maintains audit records
  • Supports team in keeping fax inbox manageable
  • Demonstrates punctuality, dependability, and professional work habits
  • Maintains clinical supply inventories and anticipates needs; places orders accordingly
  • Investigates and resolves minor patient complaints; escalates major issues to Center Nurse Manager
  • Performs other duties as assigned by Center Nurse Manager
  • When coverage is needed, travels to other clinics to complete required tasks
Physical Requirements
  • Regularly required to talk and hear
  • Active position requiring standing, walking, bending, kneeling, and stooping; may involve long periods of sitting or computer work
  • Frequently lift and/or move items over 30 pounds
  • Must be able to lift, carry, and handle equipment and supplies per position requirements
