We are seeking a detail-oriented and proactive Operations Coordinator to support day-to-day operations, systems, and process improvements across all locations.

The Operations Coordinator plays a critical role in keeping the organization running smoothly. This position blends administrative support, basic technical troubleshooting, vendor coordination, and project support.
This is an ideal role for someone who is organized, tech-comfortable, and enjoys solving problems in a fast-paced environment.
Key ResponsibilitiesOperations & Administrative Support
- Maintain and distribute the company contact list
- Track and report on patient counts, provider hours, and internal metrics
- Update, organize, and maintain internal procedures and documentation
- Coordinate and manage office supply ordering for all six locations, including standardizing orders and ensuring timely delivery
- Assist with troubleshooting facility and equipment issues to determine appropriate vendor support and urgency
- Create and distribute internal communications and materials, and patient-facing flyers
- Support employee engagement initiatives and team events
- Coordinate with third-party IT vendor (TPx) to submit and track support tickets
- Assist with setup and troubleshooting of computers, printers, iPads, and phones
- Track equipment inventory and submit warranty claims
- Coordinate website updates with external vendor
- Monitor website leads, online reviews, and patient communication platforms
Process Improvement & Project Support
- Assist leadership with improving workflows across all locations
- Identify operational inefficiencies and recommend practical solutions
- Support implementation of new systems and processes
- Travel between locations as needed to provide support
Required:
- High school diploma or equivalent
- 1–3 years of experience in operations, administrative support, or coordination roles
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and adapt in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Valid driver’s license and reliable transportation
Preferred:
- Experience troubleshooting basic IT or office equipment
- Experience working in healthcare or multi-location organizations
- Exposure to project coordination or process improvement initiatives
