Position: Database Sustainment Specialist (DSS) - Camp Pendleton

Overview

Database Sustainment Specialist (DSS) – Camp Pendleton. Nakupuna Services seeks multiple DSS to support DMLSS‑FM Databases throughout CONUS Military Treatment Facilities. The DSS is an on‑site specialist who will participate in Facility Management Team meetings, receive comprehensive DMLSS classroom training, complete web‑based DCO training (including BUILDER), and travel to remote sites as required.

Responsibilities
  • Create, maintain and update DMLSS‑FM inventories of facilities, rooms and Facility System Inventory (FSI)/Real Property Installed Equipment (RPIE) using DMLSS‑FM system modules.
  • Populate all data fields on the Physical Description, Organization, Functions, Key Events/Review, Permits, Real Property Asset, Asset Allocation, Asset Configuration and Funding tabs; coordinate with DHA Real Property Manager.
  • Populate all fields on the Detail, Data and Space tabs for rooms; ensure accurate representation of MEPRS, Department, Service DMISID, SEPS Room Code, and housekeeping requirements.
  • Populate FSI/RPIE inventory fields on Classification, Features, Condition, Manufacturer, Warranty and Parts tabs; schedule surveys with Operations & Maintenance personnel, ensuring 5‑year data capture when no O&M contractor is present.
  • Validate Cost and History tabs through Unscheduled/Demand and Planned Work Requests; maintain accurate historical cost data for FLCM support.
  • Inactivate outdated records upon approval of the Facility Manager or designee.
  • Perform 100% Room Inventory per DHA tasker; coordinate with MTF coders, system administrators and environmental services for accuracy.
  • Provide support in the DMLSS‑FM Requirement Management module for all active facility requirements and annual DHA mandated field updates.
  • Associate requirements for critical systems with appropriate packages or projects; ensure proper data entry from BUILDER annual work plans.
  • Maintain the DMLSS‑FM Project Management module: support data entry, track financial progress, document project status, and maintain a Project Management Journal for meetings and decisions.
  • Support drawing management: upload DMLSS/Drawbase compatible drawings within 10 business days, ensure proper storage and accessibility, review and make red‑line changes.
  • Support Regulatory Compliance/The Joint Commission (RC/TJC) module: enter procedures, track monthly corrective actions, maintain Life Safety classifications, generate SOC reports.
  • Assist with Work Request, Preventive Maintenance and Real Property Installed Equipment: support O&M business processes, track work requests, document trends, and maintain accurate work request information.
  • Coordinate with local DMLSS System Administrator on user roles and privileges to limit access to authorized FM staff.
  • Provide training to facility management customers and MTF staff on the DMLSS‑FM Customer Support Work Request system.
  • Maintain continuous DMLSS‑FM implementation, excluding utility or IT issues beyond DSS control.
  • Submit Monthly Assessment Reports to FM and AOR Manager; provide additional reports as required; travel for room inventory as needed.

Qualifications & Education

Qualifications and Education Requirements

  • Strong working knowledge of Microsoft Office with proficiency in Word, Excel and Outlook.
  • Excellent verbal and nonverbal communication skills.

  • Confidence in a results‑oriented environment.

Preferred Skills

  • DMLSS experience desirable (training provided).
  • Two years’ database management experience preferred.
  • Knowledge/background in medical facilities management desirable.

Education

  • High School Diploma (minimum).
  • Preferred:
    Associate’s or Bachelor’s degree in Facilities Management, Business Administration, Information Systems, Construction Management or related field.
  • Experience may be substituted for formal education.
