Responsibilities:
- Record and classify all received bills in the accounting system, ensuring accurate payment processing.
- Collaborate with the Executive Director to manage operating expense payments within budgetary guidelines.
- Coordinate bill scanning, check preparation, and mail distribution with the Manager of Administration and HR.
- Reconcile multiple accounts monthly, complete month-end closing, and verify proper transaction classifications.
- Prepare and issue invoices to vendors and contracts, ensuring approval and accuracy from relevant stakeholders.
- Process employee timesheets and payroll accurately, ensuring proper classification according to grant requirements.
- Work with the payroll system to finalize payroll processing and resolve discrepancies as needed.
- Generate financial reports, including reconciliations, profit and loss statements, and check registers, for Executive Director review.
- Present financial updates to the Board of Directors and address any inquiries or concerns.
- Support annual and tri-annual audits conducted by internal and external parties. Requirements - Proven experience in accounts payable, accounts receivable, and payroll processing.
- Proficiency in managing general ledger activities and journal entries.
- Expertise in bank reconciliations and month-end closing procedures.
- Strong ability to classify financial transactions according to grants and contracts.
- Familiarity with creating and presenting financial reports for executive-level review.
- Knowledge of payroll systems and procedures, including handling discrepancies.
- Detail-oriented with excellent organizational and problem-solving skills.
- Ability to collaborate effectively with cross-functional teams and stakeholders.
