Summary:
The Portal Billing Clerk is responsible for managing customer invoicing through third-party billing portals and supporting timely cash collection. This role ensures invoices are accurately submitted, tracked, and resolved across multiple customer platforms, while proactively identifying and addressing billing issues or disputes. The position requires strong attention to detail, excellent follow-up skills, and the ability to communicate clearly with both internal teams and external customers.

Minimum Qualifications:
+ High school diploma or GED
+ Minimum of 2 years of experience in accounts receivable, accounts payable, billing, or a related business support role
+ Proficiency with Microsoft Office, particularly Excel, and comfortable learning customer billing portals and ERP systems
+ Excellent written and verbal communication skills with the ability to work effectively with customers, vendors, and internal teams

Preferred Qualifications:
+ Associate degree in business, accounting, or a related field
+
Experience with customer invoicing portals such as Open Invoice, Ariba, Coupa, or similar procurement platforms
+ Experience in industrial distribution, electrical supply, oil & gas, construction, or manufacturing
+ Familiarity with ERP systems and accounting software
+ Understanding of invoice discrepancy resolution and payment reconciliation
Working Conditions:
This position is primarily remote; however, the selected candidate must reside within a reasonable commuting distance of the Profit Center and be available to work onsite as business needs require for training, meetings, collaboration, or operational support.

Essential Job Functions:
Portal Invoicing & Billing
+ Prepare, submit, and manage customer invoices through third-party billing platforms including Open Invoice, Ariba, Coupa, and GEP Smart.
+ Ensure invoices comply with customer-specific requirements, purchase orders, price books, and portal requirements.
+ Monitor invoice status within portals to confirm acceptance, approval, and payment progress.
Accounts Receivable &Payment Monitoring
+ Review customer statements and accounts receivable aging to ensure timely payment.
+ Follow up on overdue invoices and coordinate with customers to resolve payment delays.
+ Maintain accurate invoice tracking and status updates using
+ Maintain clear documentation of issues, resolutions, and customer communications.
Issue Resolution & Disputes
+ Identify, investigate, and resolve invoice discrepancies, rejections, and disputes in a timely manner.
+ Coordinate with internal departments (sales, operations, etc.) to correct billing issues.
+ Resubmit corrected invoices as needed and track resolution through completion.
Reporting & Communication
+ Prepare and distribute weekly summaries outlining outstanding invoices, portal issues, and action items.
+ Provide monthly updates to management on ageing balances and unresolved disputes.
+ Maintain clear documentation of issues, resolutions, and customer communications.

Compensation Range:
The compensation range for this position is $25 to $32 hourly.
