Employment Type: Full-Time (Overtime during busy season)
Hours: 40 Hours per Week
We are seeking a customer-focused and highly organized Service Coordinator to support service operations within a fast-paced industrial services environment. This role serves as a key point of contact for customers and internal teams, coordinating repair activities, preparing quotes, researching parts, managing service orders, and ensuring a high level of customer satisfaction throughout the repair process.
The ideal candidate is detail-oriented, thrives in a multitasking environment, and enjoys working with customers, technicians, vendors, and sales teams to ensure repairs are completed accurately and efficiently.
Key Responsibilities Customer Service & Repair Coordination- Serve as a primary point of contact for customers regarding repair requests and service inquiries
- Prepare repair quotations and coordinate repair schedules
- Manage service orders from initiation through invoicing and completion
- Ensure repairs move through the process efficiently while maintaining strong customer communication
- Support internal and external customers by resolving issues and providing timely updates
- Research required parts and materials needed for repair work
- Obtain vendor quotations and place purchase orders as needed
- Maintain accurate order documentation and service records
- Prepare invoices and ensure all supporting documentation is complete and accurate
- Manage repair files and documentation in accordance with company procedures
- Provide administrative support to technicians, sales teams, and leadership
- Assist with parts research, order tracking, and repair coordination
- Support counter sales activities as needed
- Help ensure targeted sales margins and operational goals are achieved
- Follow established service, repair, and order management procedures
- Experience in customer service, inside sales, service coordination, or related support roles
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Excellent communication and interpersonal skills
- Ability to work independently and take initiative in a fast-paced environment
- Strong attention to detail and accuracy in documentation and order management
- Basic understanding of supply chain, purchasing, or accounting concepts preferred
- Proficiency with Microsoft Office, including Excel
- Experience with ERP, CRM, or order management systems preferred
- SAP, Microsoft Dynamics CRM, or similar system experience is a plus
- Industrial, manufacturing, distribution, mechanical service, or repair-related industry experience
- Experience supporting technicians, service departments, or field service operations
- Background in quoting, purchasing, invoicing, or parts coordination
- Office-based role supporting industrial service operations
- Frequent interaction with customers, technicians, vendors, and internal teams
- Occasional overtime, including weekends, may be required based on business needs
- Occasional travel may be required for training, meetings, or operational support
- Ability to communicate effectively both verbally and in writing
- Ability to operate standard office equipment and computer systems
- Ability to wear required personal protective equipment (PPE) when necessary
- Ability to lift up to 25 pounds
- Ability to work collaboratively in a team-oriented environment
