The University of Texas Permian Basin's Department of Graduate Studies welcomes applications for the position of Enrollment Counselor

Salary Range

$48,000.00 depending on qualifications

Essential Functions

The Enrollment Counselor - Graduate Studies supports the Office of Graduate Studies by guiding prospective and current graduate students through application, admission, enrollment, and related student-record processes. Serving as a primary point of contact, the position provides accurate information on graduate programs, requirements, policies, application materials, deadlines, and available resources; reviews applications and credentials for completeness and preliminary eligibility; maintains records and application data;

coordinates petitions and transfer-credit documentation; and prepares enrollment reports and analyses as assigned. The position collaborates with faculty, staff, and campus offices to provide timely, accurate, student-centered guidance and support the graduate student experience.

Graduate Enrollment Counseling and Student Guidance

1. Serve as a primary point of contact for prospective and current graduate students, providing individualized guidance throughout the application, admission, enrollment, and related student-record processes.

2. Guide prospective students through the graduate admissions process by explaining program requirements, application materials, graduate policies, procedures, deadlines, and available resources.

3. Explain the expectations, time commitments, academic preparation, and skills associated with applicable graduate programs so applicants can make informed enrollment decisions.

Application, Credential, and Workflow Support

4. Process graduate admission applications, including preliminary review of academic records and credentials to confirm completeness and eligibility for further review.

5. Communicate with applicants regarding missing or incomplete materials, enter application information and decisions into the University database as assigned, and maintain accurate records.

6. Monitor application-processing volume and aging, complete assigned work within established timelines, and take timely action to prevent avoidable backlogs.

Student Records, Policy Communication, and Retention Support

7. Coordinate academic petitions, transfer-credit documentation, and related student records for enrolled graduate students, routing final academic or policy decisions to the appropriate University authority.

8. Communicate regularly with graduate students regarding policies, procedures, requirements, and available resources to support continued enrollment, retention, and success.

Reporting and Campus Coordination

9. Prepare reports and analyze graduate admissions and enrollment data as assigned to support workflow monitoring and Graduate Studies operations.

10. Collaborate with faculty, staff, and campus offices to coordinate information, resolve application or enrollment issues, and support a consistent transition from application to enrollment.

Required Qualifications

1. Bachelor's degree.

2. Two (2) years of experience in university admissions or a related field.

Preferred Qualifications

1. Bilingual proficiency in English and Spanish.
