Essential Functions
The Business Manager for Academic Affairs oversees the financial and business operations of the Academic Affairs division, supporting effective budget planning, monitoring, and compliance at The University of Texas Permian Basin. This role works closely with the Provost, Deans, and departmental staff to manage operating budgets, analyze revenues and expenditures, and provide financial guidance that supports academic programs and institutional priorities.
The position ensures alignment with University, state, and UT System requirements while maintaining accurate records and supporting informed decision-making across the division.
1. Serve in a leadership role for Academic Affairs on budgeting and financial management matters.
2. Manage daily operations of the Academic Affairs business office and ensure compliance with University, state, and UT System financial guidelines.
3. Provide guidance to faculty and staff on financial reports, budget management, and cost control.
4. Maintain reconciliations and support processes for accurate accounting records across the division.
5. Support the Provost with budget analysis and monthly financial reporting as requested.
6. Lead the annual budget development process for the Academic Affairs division.
7. Provide guidance to Deans and staff to ensure compliance with fiscal policies and procedures.
8. Prepare comparative analyses of operating programs by reviewing costs and services and provide recommendations for budget adjustments.
9. Serve as a liaison with the University Business Office and Financial Services to address accounting and financial matters.
10. Coordinate purchasing processes, including preparation of requisitions, vouchers, and budget transfers in accordance with University policy.
11. Develop and implement procedures for travel advances and expense reporting.
12. Maintain financial and statistical records to support reporting needs for leadership and audits.
13. Collaborate with University offices to monitor scholarship-related financial activity.
14. Assist with financial data preparation for grant proposals and ensure compliance with reporting requirements.
15. Participate in professional development to maintain current knowledge of financial practices and regulations.

Required Qualifications
1. Bachelor's Degree.
2. Minimum of five (5) years of accounting, finance, budgeting, and/or business operations.
3. Strong skills in communication, teamwork, and organization.
Preferred Qualifications
1. Master's Degree in an appropriate discipline.
2. Governmental accounting or budgeting experience.
3.
Experience with Peoples Soft or a similar ERP system.

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 - 5:30 pm;
Friday, 8:00 am - 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
