Responsibilities – Documentation and Administrative Support

  • Provide administrative support to the Sales Management Team for all duties including mail, word processing, filing, order processing, telephone answering.
  • Gather information and prepare presentations for meetings.
  • Draft complex documentation, proposals, reports, and correspondence such as contracts and agreements.
  • Prepare, assemble and modify weekly reports, presentations and briefing materials using MS Word, PowerPoint, Excel.
  • Use database systems to maintain current records and support monthly reporting.
  • Assist the President with team collaboration.
  • Manage calendar including internal/external meetings, site-visits and other special events.
  • Manage meetings to include taking minutes and maintaining action item lists to ensure follow‑up.
  • Support the Sales Management Team with travel itineraries: hotel reservations, flight booking and other related issues, including travel expense reports, reconciling credit card statements and other duties as needed to manage travel.
Requirements
  • Successful completed commercial apprenticeship.
  • Minimum 5 years of office administration experience in a multinational environment, preferably with recent senior executive support experience.
  • Strong knowledge of office‑related software including Microsoft Office, PowerPoint, Word and Excel.
  • Ability to maintain confidential information.
  • Ability to organize and manage multiple projects and tasks simultaneously.
  • Excellent organizational and interpersonal skills.
  • Excellent command of both oral and written local language and English.
